About The Position

Atlas OT is seeking a highly organized and detail‑driven Project Coordinator to support our project managers, designers, programmers, engineers, and field support teams. This role is central to keeping projects on schedule, ensuring accurate documentation, managing order flow, and coordinating logistics between clients, vendors, and internal teams. The ideal candidate thrives in a fast‑paced environment juggling multiple priorities. Candidate must bring strong experience in order entry, scheduling, logistics management, data accuracy, and advanced Microsoft Office skills. Advanced familiarity with tools like Microsoft Project, Planner, SharePoint, and Excel is essential. Experience in industrial automation, engineering, construction, or manufacturing is strongly preferred. This position directly supports project managers and leadership by improving operational efficiency, maintaining project documentation, and ensuring smooth execution from kickoff through closeout.

Requirements

  • 5+ years of experience in project coordination, operations, logistics, or administrative support.
  • Experience in industrial automation, engineering, construction, manufacturing, or technical services strongly preferred.
  • Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, formulas, data validation).
  • Strong proficiency in Microsoft Word, Outlook, Teams, SharePoint, Project, and Planner.
  • Experience with CRMs, ERPs, or project management systems (Zoho experience is a plus).
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple projects simultaneously and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Valid driver’s license and ability to travel locally as needed.
  • Ability to lift up to 25 lbs for office or field support tasks.
  • Comfortable working in a technical, project‑based environment with shifting priorities.
  • Expectation of in office attendance 5 days a week with flexible start / stop times and ability to flex schedule occasionally.

Nice To Haves

  • Familiarity with engineering drawings, submittals, and technical documentation.
  • Understanding of procurement workflows and vendor management.
  • Experience supporting field technicians or engineering teams.
  • Basic understanding of industrial controls, SCADA, or electrical systems (not required but valuable).
  • Ability to identify process gaps and recommend improvements.
  • Strong problem‑solving and follow‑through skills.

Responsibilities

  • Maintain and update project schedules using Microsoft Project, Planner, and Teams.
  • Coordinate internal and external project meetings, including agendas, notes, and follow‑up actions.
  • Track project milestones, deliverables, deadlines, and resource assignments.
  • Assist with project kickoff documentation, submittals, and closeout packages.
  • Process purchase orders, vendor orders, and internal requisitions with high accuracy.
  • Coordinate shipping, receiving, and logistics for equipment, control panels, and field materials.
  • Track order status, lead times, and delivery schedules; communicate updates to project teams.
  • Maintain inventory records, packing lists, and documentation for project materials.
  • Maintain project files, drawings, revisions, and documentation in SharePoint and internal systems.
  • Assist with generating reports, dashboards, and project status summaries.
  • Perform data entry with exceptional accuracy across CRM, ERP, and project management tools.
  • Support quality control by ensuring documents meet internal standards and client requirements.
  • Serve as a communication bridge between project managers, clients, and vendors.
  • Schedule site visits, field work, and contractor coordination.
  • Assist with RFI tracking, submittal logs, and documentation requests.
  • Support project managers in preparing quotes, proposals, and change orders.
  • Assist with timekeeping, project billing prep, and cost tracking.
  • Support project managers with resource planning and workload forecasting.
  • Help maintain project templates, SOPs, and process improvements.
  • Provide general administrative support to engineering and field teams as needed.
