About The Position

Under direct supervision, the Project Cost Assistant includes maintenance of all job records, including job set-up, progress billing preparation, warranty letters, change orders and job notes. Working closely with stakeholders, e.g. project managers, senior managers, and customer representatives to ensure accurate administration and maintenance of project documentation with respect to invoicing and contract compliance.

Requirements

  • Good interpersonal and verbal communications skills and ability to deal with a wide cross section of people both internal and external to the business.
  • Good Microsoft Outlook, Excel, Word and Power Point skills.
  • Basic financial analytical skills including cost control and ability to interpret financial reports.
  • Good accounts receivable knowledge.
  • Strong customer service/care skills.
  • Strong attention to detail and results focused.
  • Strong team orientation.
  • Flexibility to adapt to changing priorities and direction in a dynamic work environment.
  • Strong organizational/time management skills.
  • Good proficiency with financial software packages
  • College diploma or certificate in Business Administration, Accounting or similar program required; extensive relevant experience will also be considered.
  • Minimum of one years’ experience in bookkeeping or an accounting environment. Project cost accounting experience an asset.
  • Minimum of one years’ experience in a construction environment preferred

Responsibilities

  • Enter job bookings for all locations, change orders and set up files, send notifications of job bookings to the Project Managers and sales team.
  • Assist in project cost administrators with invoicing and draw billings
  • Assist with level one approval queues, take lead during vacation and absences.
  • Work closely with project managers and collections to ensure timely receipt of invoices.
  • Assist project cost administrators with invoicing, project notes
  • Attend weekly/monthly project meetings when required by the Project Cost Supervisor
  • Assist with the sub-contractor payment vetting process and creation of sub-contractor purchase orders
  • Acts as “our customer’s best service provider” at all times thereby ensuring Convergint Technologies is the customer’s first choice for service.
  • Executes all work in accordance with Provincial, local regulations, general best practices as well as company health and safety policies and procedures.
  • Communicates with and works with the other team members consistently to improve overall operations of the Convergint Technology Center, and company.
  • Keeps up to date and informed on all company policies.
  • Presents a professional image of Convergint Technologies at all times in appearance and behaviour.
  • Performs other duties and responsibilities as requested or required.
