About The Position

The Project Coordinator provides administrative and project management support for capital and operational projects managed by the Energy & Utilities department. This is a part-time position (20–30 hours/week) with a primarily remote schedule; occasional on-campus presence is required for site visits and project walkthroughs.

Requirements

  • Associate's degree and 2 years of relevant experience, Bachelor's degree, or 4 years of experience in project coordination or construction/facilities project management
  • Familiarity with mechanical, electrical, or utility infrastructure projects
  • Strong organizational and communication skills, both written and verbal
  • Proficiency in Microsoft Office and project tracking tools

Nice To Haves

  • Experience in a higher education or public institution setting
  • Familiarity with USNH or similar public purchasing and procurement procedures

Responsibilities

  • Coordinate project schedules, track milestones, and maintain project status documentation across active Energy & Utilities capital projects
  • Manage project documentation including design drawings, specifications, contracts, permits, and correspondence; maintain organized project files through closeout and archiving
  • Support building permit applications and coordinate with local authorities having jurisdiction (AHJ) as needed
  • Track project budgets; prepare and submit purchase orders, invoices, and change orders for approval in accordance with USNH purchasing procedures
  • Communicate with contractors, vendors, consultants, and university stakeholders on project status, scheduling, and deliverables
  • Support procurement activities including vendor coordination and contract administration
  • Assist with project closeout including collection of as-built documentation, warranties, and final permit sign-offs
  • Attend periodic on-campus site visits and project meetings as required
