About The Position

Tommy’s is looking for a Project Coordinator to support customer facing roles with a sense of urgency, reliability and equipment knowledge while executing at the highest level. As a Project Coordinator you will be assigned to work closely with a select group of Project Managers partnering with Franchisees to build and open new Tommy’s Express locations from the ground up across the country. This role requires you to follow standard operating procedures while also allowing the individual to put their own creative spin on processes as they see fit. This role requires a high level of execution, attention to detail, being proactive, and collaboration between departments.

Requirements

  • Advanced degree or equivalent formal training/certifications and experience required
  • Technical savvy and proficient in Microsoft Office; experience within database systems a plus
  • Excellent written and oral communication skills
  • Process-oriented and strong collaborator with ability to communicate and manage well at all levels of the organization and across various departments
  • Strong organizational and time management skills; ability to multitask and prioritize workload 
  • Highly adaptable with strong problem-solving and critical thinking skills; ability to exercise good judgment and make sound data-backed decisions

Responsibilities

  • Independently manage and oversee assigned administrative components of projects, supporting Project Managers from drawings through startup
  • Analyze, evaluate, and compare building and equipment proposals for Franchise and Private Brand customers throughout the construction project development phase 
  • Exercise discretion and independent judgment in reviewing sales orders, financial proformas, and change orders to ensure accuracy, compliance, and alignment with contractual and operational standards
  • Serve as a primary point of contact for administrative coordination on assigned projects
  • Work with Project Managers on change orders and communicate to all parties involved  
  • Develop, maintain, and continuously improve equipment documentation, knowledge bases, and internal resources to support consistent execution and decision-making
  • Partner with accounting and finance to oversee order collections, track financial impacts to contracts, and resolve discrepancies, escalating issues as needed with recommended courses of action
  • Collaborate cross-functionally with purchasing, engineering, project development, fulfillment, and leadership to align priorities and resolve issues
