About The Position

We are seeking an experienced and detail-oriented Project Coordinator to oversee the lifecycle of architectural product projects in the commercial sector. From the moment a standard project is designated as "Closed Won," the Project Coordinator will be responsible for ensuring its successful execution. This includes maintaining contract values, meeting project cost benchmarks, and delivering exceptional client satisfaction. You will act as the primary point of contact for clients, guiding them through each stage of the project to ensure timely completion and alignment with project goals. Additionally, you will serve as the project’s advocate and are responsible for ensuring internal milestones are met in a timely and accurate manner.

Requirements

  • 2–4 years of experience in project coordination, customer service, order management, or construction administration, preferably within the architectural products, manufacturing, or construction industry.
  • Experience coordinating multiple concurrent projects valued up to $50,000.
  • Practical experience in project management within field environments and an understanding of onsite project dynamics.
  • Strong verbal and written communication skills to effectively interact with clients, internal teams, and external stakeholders.
  • Experience with project management tools, CRM systems, and Microsoft Office Suite (or equivalent software) to manage project timelines, documentation, and communication.
  • Strong analytical and problem-solving skills with the ability to flag/address challenges and proactively manage project risks.

Responsibilities

  • Serve as the primary point of contact for customers on assigned standard projects, providing timely communication and project updates.
  • Coordinate standard projects from the "Closed Won" stage through completion for projects, ensuring schedules and customer expectations are met.
  • Collaborate with internal teams such as Finance, Project Design, Procurement, Project Engineering, Manufacturing, and Logistics to meet project deadlines and specifications.
  • Provide ongoing customer support throughout production, shipping, and project closeout.
  • Deliver timely project status updates and communicate any potential issues or delays to both clients and internal teams.
  • Coordinate customer approvals for standard submittments and documentation as required. Escalate projects requiring design review, custom engineering, or shop drawings.
  • Maintain up-to-date project records, including timelines, status updates, communication logs, and any changes to scope.
  • Oversee and coordinate installation services where applicable, ensuring that all installations are completed per project specifications and timelines.
  • Facilitate the collection of case study images, client testimonials, and other materials for marketing and sales efforts.
  • Work with Management team to continually improve internal processes and efficiencies across project workflows.
  • Perform other tasks as assigned by management to support business goals and project success.
