About The Position

Join Woodwell Climate Research Center’s Evolving Meta-Ecosystem Institute (EVOME) team as a Project Coordinator. EVOME is a large, National Science Foundation (NSF) funded, interdisciplinary research institute focused on ecological dynamics, integration, and workforce development. This position plays a key role in coordinating scientific, administrative, and logistical activities across multiple institutions, field sites, and research teams. As the Project Coordinator, you will work closely with EVOME leadership, investigators, trainees, and administrative staff to ensure smooth day-to-day operations and effective communication across the Institute. This position offers the opportunity to contribute to a collaborative, interdisciplinary institute addressing ecological change and sustainability.

Requirements

  • Research coordination, project management, or scientific program support experience
  • Excellent interpersonal and communication skills are essential to proactively manage tasks and other people to meet firm deadlines
  • Strong organizational and problem-solving skills
  • Ability to take initiative, and manage multiple tasks independently while working collaboratively in a team
  • Workflow, automation, key metrics within project management
  • Proficient with Google Workspace (Drive, Docs, Sheets, shared calendars)
  • Project management knowledge and tools such as Asana
  • Willing and able to travel to attend Institute meetings at various locations
  • 2+ years of professional relevant experience
  • Bachelor’s degree

Nice To Haves

  • Knowledge of financial or grants management systems such as Sage preferred
  • Prior experience supporting NSF-funded or interdisciplinary research programs as well as working across multiple institutions or field-based research teams preferred
  • Biology, ecology, conservation science, or a closely related field preferred

Responsibilities

  • Coordinate meetings, workshops, and project activities across EVOME teams and partner institutions to ensure the project is on schedule
  • Provides administrative and logistical support including meeting arrangement, progress tracking and documentation
  • Support NSF reporting and internal progress tracking (quarterly and annually) by collecting inputs, maintaining documentation, and preparing drafts
  • Assist with budget tracking, subaward coordination, no-cost extensions, and rebudget documentation in collaboration with administrative staff
  • Maintain shared project timelines, records, and collaborative documents
  • Serve as a point of contact for investigators, students, postdocs, and partner institutions
  • Support onboarding of students, postdoctoral researchers, and research assistants
  • Assist with field logistics, including travel, housing, and equipment coordination
  • Track deliverables, deadlines, and action items to support timely project progress
