This role is responsible for the organization, coordination, and implementation of tasks related to the Office of Medical Education's role in the medical school curriculum. The Project Coordinator will assist in leading and facilitating education activities, including module development, seminars, lectures, and administrative deliverables, ensuring timely completion and adherence to expectations.

Requirements

  • Bachelor's Degree in business administration, health care administration or related field or an equivalent combination of education and relevant experience Required.
  • 1-3 Years progressively responsible experience in education or healthcare, quality improvement, preferably in the academic setting Required.
  • Ability to work with an interdisciplinary team and communicate with a large number of medical school faculty Required.
  • Solid project development / management experience Required.
  • Ability to read and understand standard documentation Required.
  • Strong written and oral communication skills.
  • Strong organizational and team building skills Required.
  • Proven ability to work on several projects simultaneously and under tight schedules Required.
  • Understanding of applied health education research Required.
  • Moderate-advanced computer proficiency, including, standard office software applications Required.
  • Ability to use all basic office equipment Required.

Responsibilities

  • Performs other related and cross functional duties as assigned.
  • Responsible for administrative aspects of the undergraduate medical education curriculum including convening meetings, researching information, on-going summaries and providing other data for the Office of Medical Education.
  • Coordinate interdepartmental projects, ensuring that the day-to-day assignments are completed.
  • Coordinates the work of individuals assigned to the project team for specific task assignments.
  • Provide input to the leadership regarding team member performance.
  • Monitor project deliverables and timelines, notify the leadership when issues arise, and take corrective action, as needed.
  • Collaborates with external partners to implement deliverables using available technical and educational resources.
  • Organize and facilitate project-related meetings, including the creation of agendas and preparation of materials.
  • Documents activities and develop feedback report to communicate project findings and activities to collaborators and other involved.
  • Develop reports and other deliverables as assigned.
  • Assists with tracking of budget expenses.
  • Initiate and maintain communications with internal and external participants in medical education.
  • Provides regular written and oral reports of activity on assigned contracts.
  • Identify, implement and monitor opportunities for process improvement in the office workflow.
  • Provides oversight to the data warehouse abstraction process, e.g. tool development, abstractor training, scheduling and assurance of appropriate tracking, storage and destruction of medical records to ensure confidentiality.
  • In partnership with FGP leadership and regional practice management, this role will assess, design, and lead initiatives aimed at developing future growth and practice alignment strategies.
  • Coordinate with leadership on future growth strategies, including the development of new sites and initiatives, while adhering to standardized best practices of operational efficiency and patient access.
  • Collaborate with various stakeholders within and outside of the region, including the FGP corporate business office, in order to build effective future growth strategies for the region.
  • Collaborate with practice management and regional team to identify areas of focus, and work to implement new initiatives and best practices.
  • Collaborate with physicians to communicate productivity metrics, ensure adherence to 4-hour clinical sessions, support efficient workflows and optimize patient access.
  • Align office workflows across the region to ensure consistency related to provider templates and patient throughput.
  • Reports any operating issues that may have an impact on financial results to the FGP Leadership.
  • Identify and communicate issues or roadblocks to the regional management team/FGP leadership.
  • Ensures enforcement and adherence to FGP policies are procedures.
  • In conjunction with FGP leadership, is responsible for implementation of FGP business planning decisions and initiatives including onboarding new physicians, new locations, and space expansion/consolidations as needed.
