About The Position

The Project Coordinator works with the project team to disburse information to the customer and other Sunland divisions as needed. Oversees the project subcontractor agreements, folders, tracking and reporting of the Division's daily activity and coordinates this activity with customers and Division employees. This position assists with preparing and submitting monthly billings to the customer in a timely manner. The Project Coordinator also completes several administrative tasks for the Division.

Requirements

  • High School Diploma or GED required
  • One (1) to three (3) years industry, administrative, and/or dispatcher experience
  • Strong computer, written and oral skills
  • Knowledge of DOT rules and regulations.
  • Strong critical thinking skills
  • Must be fluent in English, i.e., must be able to speak, read and write
  • Passing a pre-employment drug and alcohol screening and background check is required.

Nice To Haves

  • Four (4) year degree
  • Previous experience working with ADOT preferred

Responsibilities

  • Coordinating project information with Project Engineers and Project Managers.
  • Preparing and monitoring subcontractor agreements for projects.
  • Attending weekly department meetings.
  • Coordinating communications between customers and departments including preconstruction meetings and addressing questions, problems and requests.
  • Receiving, preparing and transmitting work packet and budget assignments for subcontractor jobs from Superintendents onto project tracking forms.
  • Supporting Project Engineers and Project Managers with submitting project certifications to customer.
  • Reviewing initial job cost reports and attending division job cost meetings.
  • Preparing and submitting monthly progress billings/invoices to customers.
  • Maintaining and updating revenue tracking process.
  • Communicating job completion dates to Accounting and Sales.
  • Acting as liaison between own division/supervisor and other departments, divisions and external contacts.
  • Managing material and subcontractor invoicing process, including coding and routing for Superintendents, Project Engineers, and Project Managers.
  • Maintaining project folders.
  • Attending weekly project meetings.
  • Working with the Safety Department and Superintendents to ensure employees have appropriate Personal Protective Equipment (PPE) available to them.
  • Acting as point of contact for Division employees.
  • Performing basic administrative and clerical functions, which may include filing, copying, scanning, binding reports, preparing project letters to customers, etc.
  • Performing any and all other duties assigned.
