About The Position

Dubak Electrical Group is seeking a Prefab Project Coordinator to perform administrative, planning, and project-related duties for the Manufacturing & Prefab Manager and the Prefab team at our La Grange Park, IL corporate office. This position combines administrative coordination with hands-on project planning responsibilities. The Prefab Project Coordinator will play a key role in the successful set up, costing, scheduling, and execution of prefabrication projects, while also handling the documentation, logistics, and communication that keep the department running. The role requires great attention to detail, strong organizational skills, and the ability to manage many ongoing tasks simultaneously. This position requires close interaction with prefab employees, preconstruction, and project managers, ensuring efficient logistics coordination, material preparation, project planning, monitoring, and project closeouts. The Coordinator must also be willing to undertake organizational responsibilities on a regular basis and have the ability to work with client proposals, marketing collateral, construction documentation, and select legal documents. A strong understanding of (or determination to learn) corporate and industry practices, processes, and standards and their impact on project activities will be necessary. This individual reports directly to the Manufacturing & Prefab Manager.

Requirements

  • Excellent oral and written communication skills.
  • Strong understanding of corporate and industry practices, processes, and standards.
  • Basic knowledge of industrial electrical and mechanical concepts and designs.
  • Knowledge of electrical and mechanical installations related to prefabrication projects.
  • Ability to interpret electrical and mechanical 2D and 3D designs.
  • Experience in project scheduling and manpower loading.
  • Ability to plan multiple craft labor resources.
  • Ability to apply innovative and effective techniques to maximize performance.
  • Must be proficient with all Microsoft Office software (Word, Excel, PowerPoint), including advanced knowledge of Excel.
  • Proficient computer skills and a quick learner with project management or scheduling software (MS Project).
  • Must be a self-starter and accountable to meet timely deadlines.
  • Possess strong customer service skills by communicating professionally with our customers.
  • Possess strong time management skills and the ability to prioritize.
  • Ability to identify potential issues and collaborate to resolve them quickly.
  • Must be a strong collaborator/team player to accomplish team and company goals.
  • Strong organizational skills are a must.
  • Ability to work well under pressure.
  • Willingness to learn and participate in continuing education and training.

Nice To Haves

  • 2 years of administrative/coordinating projects preferred
  • Experience in the construction, electrical, or mechanical industry preferred

Responsibilities

  • Collaborate with the prefab team, preconstruction, and project managers to maintain project staging areas.
  • Oversee logistics coordination, material preparation, and project planning.
  • Implement and maintain internal and external resources and structures to support project execution.
  • Identify risks and opportunities to ensure timely project completion.
  • Assist in project monitoring and closeouts.
  • Manage project budgets ranging from $1,000 to $10.0M.
  • Plan and track inventory resources for multiple projects simultaneously.
  • Ensure timely and accurate material picking and staging.
  • Schedule and facilitate meetings for the Manufacturing & Prefab Manager.
  • Complete timely, accurate job costings on a weekly basis.
  • Handle administrative duties with limited supervision; organize and expedite workflow, and initiate follow-up actions.
  • Coordinate, schedule, and confirm Zoom and in-person conference calls.
  • Liaison with staff, clients, external vendors, and associates on behalf of the Manufacturing & Prefab Manager as required.
  • Organize and maintain confidential correspondence and files and follow up on pending matters.
  • Direct and confident interaction with all Dubak personnel.
  • Willingness to learn from more experienced Prefab employees.
  • Represent the company in the best of light, starting with safety and respect.
  • Understand and implement Dubak Electrical's project execution strategy as defined by Dubak Management.
  • Ability to plan, schedule, and organize tasks in an efficient manner to meet deadlines consistently.
  • Involved in training and mentoring new team members as needed.
  • Develop positive relationships and speak with clients on behalf of the Manufacturing & Prefab Manager.
  • Schedule meetings and maximize Manufacturing & Prefab Manager time efficiency.
  • Understand and respect the need to maintain confidential and privileged information.
  • Ability to proactively problem solve.
  • Ability to work well and efficiently under pressure.
  • Prioritize and shift priorities while continuing to meet deadlines.
