Read more: careers.bms.com/working-with-us . Project Coordinator, ICV US FM This position will report to the National Director, Rheumatology. The primary role of the Project Coordinator is to support the function of Field Medical, working within the ICV therapeutic area and across the multiple field teams. Individual will be responsible for performing a diverse set of administrative duties. Must be able to work independently and have successfully demonstrated an ability to work collaboratively within a large team environment. Responsibilities include but are not limited to ensuring that Field Medical Leads/Region Directors respond in a timely fashion to senior leadership requests, organizing team responses for leadership requests, organizing and scheduling meetings, managing calendars, arranging travel, and any ad hoc projects. Composing and editing correspondence and assisting with development of PowerPoint presentations. The ideal candidate must be proficient with BMS systems and processes, including Outlook, Concur, ONYX, SAP and Ariba. Must be proficient with MS Office software, specifically having strong skills in Word, MS PowerPoint, and ability to create and manipulate spreadsheets in Excel. This position will require frequent communication and coordination with external and internal customers including, vendors and agencies, consultants and members of various cross-functional internal teams. Requirements

  • Associates Degree, with college preferred;  Advanced technical training a plus
  • Seasoned professional with at least 10 years of administrative experience with significant experience working with senior-level executives and external stakeholders
  • Established record of effectively working and communicating with all levels in the organization and have good working knowledge of company's corporate policies, or, if an external candidate, demonstrate an ability to quickly learn
  • Highly proficient in Microsoft Office Suite including but not limited to Outlook Calendar and Email, Skype for Business, Excel, Word and PowerPoint, Sharepoint & Share drive
  • Proficient with BMS applications, Concur, Workday, Ariba, SAP, purchasing systems, eSetup, Audio, Video and Conference Room Scheduling
  • Ability to demonstrate a capacity to quickly develop new skills and learn new software applications
  • Possess strong interpersonal and excellent communication (verbal and written) skills for effective cross-functional engagement and interactions with all levels of Senior management
  • Proven ability to handle sensitive information with confidentiality, discretion and good judgment

Responsibilities

  • Performs highly diverse and complex administrative functions
  • Anticipates deadlines, conflicts and issues, and takes appropriate actions with minimum assistance from supervisor
  • Works independently and make good decisions on behalf of the Team Leads/Region Directors in regard to calendar and travel events
  • Supports leaders’ preparedness for meetings (e.g., assemble meeting materials, assisting with PowerPoint presentations, preparatory meetings with key stakeholders & pre-read)
  • Exhibits excellent judgment in handling confidential information, demonstrates diplomacy, professionalism and tact in dealing with sensitive situations
  • Anticipates needs of the team leaders and takes appropriate steps to produce desired outcome with minimal assistance from supervisor with accuracy and efficiency to meet all deadlines
  • Maintains and organizes team operations and procedures such as utilizing one-drive, Sharepoint, electronic filing systems and other technologic solutions, and other administration services
  • Creates, edits, and tracks job requisitions as well as assisting with other delegated tasks utilizing Workday
  • Demonstrates strong organizational skills, paying close attention to detail with timely follow up properly balances priorities and resources
  • Prioritizes activities and takes action based on an understanding of department objectives, customer needs and BMS business strategies
  • Adapts to and manages multiple, shifting priorities, quickly course correcting when necessary
  • Displays a positive work attitude, high productivity and a collaborative approach effectively building relationships with team and other departments
  • Exhibits a willingness to assist and support others while balancing work demands and involves others in decision-making when appropriate.
