About The Position

Aleut Construction is seeking a Project Coordinator to support federal construction activities at Malmstrom Air Force Base in Great Falls, Montana. This position will assist the project team with day-to-day coordination, documentation, quality control support, engineering submittals, schedule tracking, change management, and contract deliverables for a military construction project. The Project Coordinator will work closely with the Project Manager, Superintendent, Quality Control Manager, Site Safety and Health Officer, subcontractors, vendors, and client representatives to help ensure the project is executed safely, efficiently, and in compliance with contract requirements, drawings, specifications, EM 385-1-1, OSHA standards, and applicable federal construction procedures. This role requires a highly organized, detail-oriented individual who can manage deadline-driven tasks, maintain accurate records, support field operations, and communicate effectively with both office and field personnel.

Requirements

  • Experience in commercial, industrial, civil, or federal construction project coordination, project administration, document control, or field support.
  • Experience supporting construction submittals, RFIs, transmittals, meeting minutes, quality control documentation, as-builts, and project closeout.
  • Familiarity with federal construction requirements, USACE procedures, EM 385-1-1, Davis-Bacon certified payroll, RMS, or similar project management/document control systems is preferred.
  • Working knowledge of QA/QC activities commonly encountered during construction, including inspections, testing, documentation, deficiency tracking, and corrective action follow-up.
  • Ability to read and interpret construction drawings, specifications, schedules, submittal requirements, and contract documents.
  • Experience supporting subcontractor coordination, procurement tracking, change management, and contract deliverables.
  • Experience working on military installations, secure facilities, or projects requiring base access is preferred.
  • Bachelor’s degree in construction management, engineering, business, or related field preferred.
  • Relevant construction coordination, document control, project administration, military construction, or field experience may be substituted in lieu of a degree.
  • OSHA 10, OSHA 30, EM 385-1-1, First Aid/CPR, or other construction safety training is preferred but not required.
  • Strong organizational skills with the ability to track multiple priorities, deadlines, logs, and deliverables at the same time.
  • Strong attention to detail and ability to maintain accurate, complete, and audit-ready project records.
  • Proficiency with Microsoft Office, especially Excel, Word, Outlook, and Teams.
  • Ability to support submittal register management, assemble submittal packages, and complete transmittal processes.
  • Ability to support as-built drawing management, document control, and engineering submittal coordination.
  • Ability to communicate professionally with project managers, field supervisors, subcontractors, vendors, client representatives, and corporate support staff.
  • Ability to work independently with limited supervision while staying aligned with project leadership direction.
  • Ability to work in a fast-paced construction environment and reprioritize tasks as project needs change.
  • Ability to understand and follow federal, state, local, base-specific, and project-specific requirements related to quality, safety, documentation, and contract compliance.
  • Ability to support cost estimates, quantity takeoffs, change documentation, and subcontractor coordination as needed.
  • Develop, organize, and maintain project submittal packages, registers, transmittal logs, RFI logs, and related project documentation.
  • Coordinate collection and tracking of documentation required to maintain project quality control, safety, contract compliance, and closeout requirements.
  • Support change management through data entry, document collection, log maintenance, and tracking of contract deliverables.
  • Assist project leadership with meeting minutes, action item tracking, subcontractor follow-up, and coordination of project communications.
  • Maintain accurate electronic and hard-copy project files in accordance with Aleut and contract requirements.
  • Ability to pass a pre-employment background check.
  • Valid state driver’s license.
  • Ability to obtain and maintain access to Malmstrom Air Force Base.
  • Must be available to work occasional extended hours, weekends, or holidays as required by project schedule or mission requirements.

Responsibilities

  • Support daily project coordination for the Malmstrom AFB construction team, including field documentation, subcontractor coordination, meeting preparation, and follow-up on action items.
  • Assist with the development, tracking, and maintenance of project submittals, transmittals, RFIs, quality control records, testing documentation, daily reports, meeting minutes, and closeout documentation.
  • Maintain and update project logs, including submittal registers, RFI logs, deficiency logs, change management logs, procurement tracking, testing logs, and as-built drawing records.
  • Support the Quality Control Manager with documentation related to the Three-Phase Control process, including preparatory, initial, and follow-up inspections.
  • Assist with assembling and submitting quality assurance and contract deliverables required by the client, including documentation needed for USACE, federal, or base-level reporting requirements.
  • Coordinate with subcontractors and vendors to collect required documentation, including submittals, certifications, test reports, delivery tickets, safety documentation, and closeout materials.
  • Support change management by helping collect backup documentation, maintain change logs, track potential cost or schedule impacts, and assist with change notice or proposal packages.
  • Assist with project schedule updates by tracking field progress, identifying pending documentation or material issues, and helping communicate upcoming activities to the project team.
  • Support the maintenance of as-built drawings by coordinating updates from field personnel and subcontractors.
  • Assist with project closeout, including punch list tracking, O&M manuals, warranties, final submittals, record drawings, release documents, and other required closeout deliverables.
  • Provide administrative and coordination support for base access, badging, visitor coordination, training records, and required project personnel documentation.
  • Perform other duties as needed to support project execution and contractual requirements.
