About The Position

The Project Coordinator performs administrative and project support duties for the T&D Engineering department of the Authority. This role is crucial in supporting the T&D Engineering department's administrative and project management needs, ensuring efficient operations and project success.

Requirements

  • Competency with personal computers.
  • Training and experience with Microsoft Office Excel, Word, Access, Outlook, PowerPoint, OneDrive, Teams, and Project.
  • Ability to learn and use MAXIMO and Dynamics 365, to enter and track material purchases.
  • Ability to follow processes and procedures.
  • Competent in the use of the English language both in the written and verbal form.
  • Ability to prepare reports; to gather, review, and analyze data.
  • Ability to prioritize tasks and manage interruptions appropriately.
  • Strong communication skills.
  • Minimum high school graduate with at least five years of experience in administrative office work.
  • Experience working in a deadline-driven environment.
  • Experience showing strong organizational and multi-tasking skills.
  • Valid Oklahoma driver’s license.

Nice To Haves

  • Experience as an administrative assistant.
  • Basic Project Management knowledge.

Responsibilities

  • Assists with the project management administrative processes during project planning, initiating, executing, monitoring/controlling, and closing.
  • Assists with the construction administrative process, including but not limited to tracking costs and/or materials, processing vendor invoices, scheduling and facilitating meetings, and taking minutes.
  • Prepares and enters purchase requests and purchase orders for equipment, materials, and services related to T&D project.
  • Processes releases from purchase orders and contracts for equipment, materials, and services.
  • Makes purchases using the P-Card system; prepares documents to account for purchasing as required.
  • Assists with preparation and processing of project bid documents, as needed.
  • Maintains project records; scans documents and files electronically; files paper copies as needed, ensures proper storage of project documentation.
  • Assists in the creation and maintenance of project schedules for Project Manager(s).
  • Completes reports and project related forms as necessary.
  • Handles contract mailings, filing, etc.
  • Schedules and leads meetings as well as coordinates project activities as required with other GRDA departments and vendors.
