Project Coordination Manager

AAA Service Plumbing, Heating, Electric•Golden, CO

About The Position

AAA Service is seeking a Project Coordination Manager to lead project coordination from sold estimate through verified project closeout. The role ensures customers receive the work and commitments they were promised, payments are collected, permits and rebates are resolved, and project profitability is accurately documented. Installation completion alone does not constitute project completion. The manager owns coordination, verification, and follow-through, leads assigned project coordination staff, and holds cross-functional owners accountable to deadlines. Department leaders remain responsible for the quality and accuracy of their work, Finance validates financial items, and management approves final project closure.

Requirements

  • Experience coordinating residential home-service installations or similar projects, including leading teams and holding them accountable.
  • Knowledge of scheduling, permits, inspections, financing, collections, rebates, and job-cost processes.
  • Proficiency with field-service or project management systems and spreadsheets, with strong documentation and follow-through.
  • Strong communication, problem-solving, and conflict-resolution skills across customers and internal teams.
  • Highly organized, detail-oriented, and accountable, with a strong sense of urgency and ownership.

Responsibilities

  • Lead, train, and hold Project Coordinators accountable for project execution, customer communication, documentation, collections, and escalation standards.
  • Oversee projects from sold job through final closeout, ensuring every open item has a clear owner, next step, and deadline.
  • Verify installation readiness, including scope, pricing, equipment, materials, scheduling, permits, utilities, financing, and customer expectations before releasing projects.
  • Monitor project profitability, job costing, gross profit, collections, funding, discounts, and change orders in partnership with Finance and management.
  • Ensure customers receive timely communication before, during, and after installation, and promptly escalate concerns and delays.
  • Verify installation completion, required documentation, photos, testing, customer follow-up, and corrective work before project closeout.
  • Oversee permits, inspections, utility coordination, and applicable rebate requirements through completion.
  • Maintain accurate project records and ensure company systems reflect current project status, decisions, and outstanding items.
  • Conduct daily project reviews and weekly audits to identify trends, resolve deficiencies, and improve processes.
  • Partner across Sales, Operations, Finance, Field Leadership, and Customer Service to resolve issues and deliver a seamless customer experience.
  • Hold projects from release or closeout when required documentation, approvals, payment, inspections, or other prerequisites are incomplete.
  • Track key performance measures, including customer satisfaction, collections, permit closure, inspection results, callbacks, gross profit, and project completion.

Benefits

  • Competitive base salary of $85,000–$95,000 annually, based on experience, plus bonus potential.
  • Weekly pay, every Friday.
  • Medical, dental, vision, and life insurance options for employees and their families.
  • 401(k) company match.
  • Accrued paid time off and paid holidays.
  • Ongoing professional, technical, and leadership training to support career growth and advancement.
