About The Position

Dilfo is looking for a motivated Project Coordination & Cost Co-op Student to join our Project Management team. The role supports Project Managers with the coordination, administration, and cost tracking activities associated with construction projects. This role assists with project documentation, submittals, RFIs, change support, document control, and project cost administration while maintaining accurate and organized project records. The position also provides junior-level support with project cost tracking, reconciliation, and supporting documentation preparation, offering hands-on exposure to construction project management, project controls, and commercial administration within a fast-paced construction environment.

  • Currently enrolled in a post secondary co-op program related to the construction field, such as construction management, construction science, mechanical engineering etc.
  • Curious and eager to learn in a fast-paced technical environment.

Responsibilities

  • Review and submit documents to the General Contractor and ensure all DILFO sub-trades have the necessary information; maintain communication with general contractors, sub-trades, suppliers, and internal project teams.
  • Assist Project Managers with scheduling start-up and training activities, maintaining project documentation, job costing support, and general project administration.
  • Coordinate collection and organization of project documentation from suppliers, subcontractors, and internal teams.
  • Support tracking of RFIs, shop drawings, submittmits, site instructions, and change events to ensure timely project coordination and documentation compliance.
  • Assist with document control activities, including maintaining current drawing sets, managing revisions, and distributing updated documentation to project stakeholders.
  • Manage, update, and maintain client software and project management platforms (e.g., PCL PDC, Procore, Trimble ProjectSight, Autodesk Construction Cloud, etc.) to ensure project documentation remains current and compliant.
  • Comply with all company health and safety policies and procedures.
  • Review shop drawing submissions from suppliers and sub-trades, confirm equipment and specification requirements, and coordinate submissions to the General Contractor.
  • Maintain project files (physical and electronic), including shop drawings, submittals, RFIs, site instructions, change documentation, and associated tracking logs.
  • Support the preparation and coordination of change orders, including obtaining supplier pricing, subcontractor quotations, and supporting documentation.
  • Assist with compiling and organizing labour, material, equipment, subcontractor, and vendor backup documentation for project cost tracking and monthly submissions.
  • Maintain cost tracking logs and support the reconciliation of submitted project costs against supporting documentation.
  • Assist with preparing draft cost reports, tracking spreadsheets, and supporting documentation packages for Project Manager review.
  • Organize and maintain structured electronic records to support project documentation accuracy, traceability, and audit readiness.
  • Prepare close-out documentation, including operating and maintenance manuals, as-builts, test reports, warranties, and commissioning documentation.
  • Maintain organized electronic and physical project records to support project accessibility, accuracy, and retention requirements.
