About The Position

The Project Associate serves as a foundational operational and coordination role within the Project Management Office (PMO). This position functions as a core stabilizing force within the PMO, ensuring that standards, processes, reporting, and coordination mechanisms operate consistently and effectively. The Project Associate supports enterprise delivery by enabling project execution, maintaining portfolio visibility, supporting governance structures, and owning defined PMO operational functions. In addition to PMO operations, this role may independently manage low-risk, low-complexity projects, while supporting larger, complex initiatives led by Senior Project Managers and Program Managers. This position reports directly to the Director of Enterprise Technology & PMO to ensure role integrity, governance alignment, and protection from misutilization as administrative support.

Requirements

  • High School Diploma or equivalent.
  • Experience in administrative, coordination, operations, or project support roles.
  • Demonstrated organizational and documentation skills.
  • Experience working in structured, process-driven environments.
  • Strong communication and interpersonal skills

Nice To Haves

  • Associate or bachelor’s degree in business, healthcare administration, information systems, project management, or a related field strongly preferred.
  • Experience in healthcare, IT, or operational environments.
  • Exposure to project management or PMO functions.
  • Experience working in regulated or complex organizations

Responsibilities

  • Own defined operational functions of the PMO infrastructure.
  • Maintain PMO standards, templates, workflows, and documentation frameworks
  • Support development and maintenance of dashboards and project tracking systems
  • Ensure consistency of PMO processes across projects and programs
  • Maintain intake pipelines, governance artifacts, and portfolio records
  • Support cadence management for reviews, reporting cycles, and governance forums
  • Provide structured delivery support to Project Managers and Senior Project Managers.
  • Support project planning, documentation, and coordination activities
  • Assist with schedule tracking, milestone management, and deliverable readiness
  • Support risk, issue, and dependency tracking and escalation
  • Facilitate cross-team coordination and communication
  • Support project governance and reporting requirements
  • Independently manage assigned low-risk, low-complexity projects.
  • Lead planning, execution, and closure of assigned projects
  • Coordinate stakeholders and resources
  • Track scope, schedule, and deliverables
  • Ensure proper documentation and governance compliance
  • Transition completed work into operational ownership
  • Participate in enterprise intake and prioritization processes.
  • Support intake workflow management
  • Participate in intake triage and readiness discussions
  • Support prioritization structures and governance forums
  • Maintain intake documentation and readiness standards
  • Operate with both independent process authority and delegated governance authority.
  • Enforce PMO standards, workflows, and documentation requirements
  • Support compliance with governance frameworks
  • Operate under delegated authority from PMO leadership
  • Ensure consistency and discipline across delivery activities
  • Operate as a professional PMO representative across the organization.
  • Maintain professional interactions with managers and stakeholders
  • Support cross-functional collaboration
  • Represent PMO standards and practices
  • Support a culture of service, structure, and professionalism
  • The employee supports the hospital mission, vision, values, policies, and procedures.
  • Participates in required education for DNV programs as applicable to position (reference program education curriculum).
