About The Position

Reporting to the Manager of Project Administration, the Project Assistant provides essential administrative support to Project Managers throughout the project lifecycle. As a key member of the Project Management Team, this role helps keep project documentation accurate, organized, and up to date while supporting efficient coordination and successful project delivery.

Requirements

  • Three or more years of construction administration experience.
  • High school diploma or equivalent.
  • Strong written and verbal communication skills with the ability to coordinate effectively among internal teams, subcontractors, owners, and other external partners.
  • Excellent mathematical and problem-solving skills, with strong attention to document accuracy.
  • Proficiency with construction management software and Microsoft Office applications.
  • Ability to organize competing priorities and thrive in a high-volume, deadline-driven environment.

Responsibilities

  • Partner with Project Managers to compile accurate legal and contract documents.
  • Set up and maintain physical job files, owner status books, and warranty packages, including warranty letters, operating manuals, as-builts, and permits.
  • Distribute subcontractor contracts with job-specific insurance requirements; track signed agreements and follow up on certificates of insurance and other required items.
  • Enter and track proposed change orders, change orders, and owner change orders after Project Manager approval, routing documents for signature and recording completed items in the system.
  • Upload and maintain project information in company construction software, including drawings, drawing logs, submittmits, and RFIs.
  • Prepare business correspondence, permit responses, meeting minutes, and transmittals for owner-architect/engineer-contractor meetings.
  • Provide general office support, including receptionist coverage, incoming calls, mail, filing, and other administrative requests.
  • Model effective communication, sound problem-solving, ethical conduct, and professional relationship-building with internal and external partners.
