ICMS is looking for an experienced Project Administrator (Construction - Office Engineer). This individual is responsible for the document management of a project to include preconstruction, construction and post construction support. Management of information, data entry, contract deliverable tracking, decision and issue tracking and resolution and document control.

Requirements

  • Four-year Bachelor's degree or equivalent combination of technical training and/or experience.
  • A minimum of 4 years’ typical document management and database experience.
  • Prefer experience managing submittals, Request for Information (RFIs), and project documentation systems.
  • Strong Microsoft Suite skills (tracking logs, dashboards, reporting)
  • High attention to detail (this is critical) and strong organizational skills
  • Ability to manage deadlines under pressure
  • Excellent written and verbal communication abilities.
  • As a condition of employment, it will be required to pass a pre-employment drug screening, as well as have acceptable reference and background check results.
  • It is mandatory that all Contractor personnel working onsite at federal facilities meet federal government security clearance standards. Minimum investigation at a Public Trust level required.

Responsibilities

  • Ensure the flow of paperwork and information is maintained throughout the project team and provide the construction daily/monthly reports to the project manager and COR.
  • Log, route, and manage the suspense of all submittits, Request for Information (RFIs), changes, estimates, and daily QA and Safety Reports.
  • Ensure all documentation received is logged in and distributed within 48 hours.
  • Keep accurate and up-to-date electronic copies.
  • Keep accurate databases to include.
  • Maintain all electronic documents on a network shared drive.
  • Ensure contractor is meeting submittal deliverable requirements per the specifications and their submittal register is accurate and updated real time.
