About The Position

Provides administrative and programmatic support to the Health Services Unit (HSU) in support of the unit and agency mission. Updates and maintains records, files, and automated databases. Maintains institutional mental health records in compliance with Institutional Operating Procedures and medical protocols. Assists with scheduling sessions and/or programs for inmates. Prepares copies of relevant documentation, maintains files, emails documentation, and answers telephone calls for the Health Services Unit. Assignments to other duties or locations may be necessary to meet the clinical and administrative needs of the Department. This is a wage position limited to working no more than 1,500 hours per agency during the 12 month period of May 1 – April 30, regardless of the hire date. The wage employment period resets on May 1 of the following year. All wage employees are limited to working no more than 29 hours per week on average over the 12-month period. This wage position offers no state benefits.

Requirements

  • Demonstrated ability to research and analyze data in order to reach logical conclusions and prepare routine reports.
  • Demonstrated skill in the use of Microsoft Office to include Word and Excel to accomplish office support requirements.
  • Demonstrated skill in inputting data into an automated database other than Microsoft Office.
  • Ability to prioritize work, meet deadlines and complete tasks in a timely manner.
  • Ability to communicate effectively (both oral and written) with customers, employees, and other individuals to answer questions, disseminate or explain information in a courteous manner.
  • Considerable recent experience providing customer service and administrative support to include word processing, filing and other related duties in a professional office setting.
  • Demonstrated ability to set up and maintain automated and manual filing systems.

Nice To Haves

  • Knowledge of State Procurement and Electronic Virginia (eVa).
  • Skill in the use of Outlook, Access, and Publisher.
  • Recent experience providing customer service and administrative support in a professional office setting.
  • Recent experience using office equipment (i.e., computers, printers, copier, and fax machine).
