About The Position

The primary duty of the PSA is to support smooth execution of the team’s operations, budgeting, strategy, and grant making. In providing these core functions, the PSA applies their skills in project management to support the team’s grantmaking. This role requires consistently adapting to team members’ needs, proactively identifying them, and providing timely follow-up and solutions. PSAs should have a vision for how the team’s inner workings contribute to succeeding in meeting our goals.

Requirements

  • Strong technical skills, including knowledge of Microsoft Office Suite including strong proficiency in Excel, SharePoint, and Zoom
  • Excellent written and oral communications skills
  • Desire to grow and learn, and adapt work in a rapidly moving environment
  • Demonstrated capacity to work as part of a team, as well as independently

Nice To Haves

  • Bachelor’s degree
  • 2+ years of full-time professional experience, preferably in a nonprofit office environment requiring interaction with both internal and external “customers”
  • Creative application and usage of AI tools

Responsibilities

  • Assist foundation staff in the preparation and processing of internal grant-related documents, including grant inquiry research, write-ups, grant letters, grant tracking, grant payments, and grantee reporting.
  • Assist with general correspondence, requests for information, creation and updating of files and records including grantee acknowledgement letters, follow up reports, etc.
  • Schedule appointments and meetings, manage calendars, support the Home Region Director.
  • Prepare documents, take minutes, and compile follow-up notes for grant making strategy and internal team meetings.
  • Compile a variety of narrative and statistical reports, locate sources of information, devise forms needed to secure data; determine proper format for finished reports; edit draft staff correspondence for grammatical and punctuation errors.
  • Manage special projects for the Home Region Director or Program Coordinator and Grants Manager.
  • Assist in scheduling and planning for major events, such as retreats or grantee convenings.
  • Prepare documents, take minutes, and compile follow-up notes for grant making strategy and internal team meetings.
  • Participate in organization-wide teams for improved team and grant making efficiency.
  • Complete other projects and assignments as requested.
