About The Position

We are seeking a skilled Program Specialist - Science Director to join our team. The candidate shall provide Business Administration Services to the ONR Global Arlington, Virginia Office to enable International S&T Engagements, S&T Operations, and S&T Corporate Communications and fulfil S&T Logistical requirements associated with the ONR Global Science Director (SD) Program. The SD Program Specialist’s primary responsibility is to provide robust administrative execution in the office productivity tasks required to execute the ONR Global Science Director (SD) Program. The Program Specialist shall execute the subtasks identified below to ensure ONR Global program requirements are met. This is a contingent position.

Requirements

  • Bachelor’s degree and 7 years of relevant work or an Associate’s degree and 10years of US Government RDT&E program support work experience.
  • Demonstrated proficiency in managing customer requirements across a broad range of tasks including briefing preparation, maintaining administration history and supporting the administration, execution and evaluation of management programs.
  • Professional maturity to professionally interact on a daily basis with 0-6/GS-15/Director level Officers & Civilian Leaders in OCONUS ONR Global S&T Partner Organizations, ONR HQ staff, University Affiliated Research Center’s (UARC’s), CONUS-based Universities and members of the Naval Research and Development Establishment (NR&DE).
  • Demonstrated proficiency in planning, scheduling and managing conferences and multi-day meetings.
  • Must be a U.S. Citizen.
  • Able to obtain and maintain a security clearance.

Responsibilities

  • Administratively track and develop solutions to a variety of concurrent and complex business problems (for which no precedent exists) simultaneously, that require sensitive or intensive coordination of relationships with OCONUS ONR Global S&T Partners, ONR HQ staff, University Affiliated Research Center’s (UARC’s), CONUS-based Universities and members of the Naval Research and Development Establishment (NR&DE).
  • Plan, schedule and coordinate ONR Global SD Program employee interviews. Tasks include Reserve conference rooms, contact and confirm interviewee’s and panel members, create interview binders for the panel interviewers, take notes during all interviews, consolidate and maintain panel members comments/ratings for each interview conducted. Maintain historical records of panel members’ resume reviews and interview results.
  • Schedule, Coordinate and Lead the planning for SD Program activities scheduled for the annual ONR Global Team Meeting (GTM).
  • Develop and consolidate a list of potential industry & government guest speakers and provide administrative support to SD break-out meetings.
  • Represent the SD Program during the GTM planning processes, disseminate agenda/schedule, and lead the execution of the GTM scheduled events.
  • Plan, schedule and coordinate the development of the ONR Global Science Director Annual Report and S&T Prospectus.
  • Reserving spaces/conference rooms, coordinating Audio/Video Logistics; Consolidating SD inputs for ONR Global leadership.
  • Maintain administrative accuracy (within 72 hours) in all ONR Global SD Program documentation in the Command’s KM Portal.
  • Program Tracking Documents and Spread Sheets, Briefing Materials, contact information for SA’s and Warfare Center POCs (Program Managers, Business Financial Managers) with Microsoft Office Product Suite (MS Office, Excel, and Word) and Adobe Acrobat tools.
  • Collect, review for completeness, and ensure placement of SD Program Global Technology Awareness (GTA) Reports in the Command’s KM Portal.
  • Provide Business Administration services to facilitate Science Director Program On & Off-site meetings, events, and conferences. These actions include coordination of tasking’s/actions, Attending Meetings, Drafting meeting notes, etc.
  • Provide administrative coordination support to enable communications between the ONR Global Corporate Communications and the ONR Headquarters Corporate Strategic Communications (CSC) Team on topics related to the Science Director Program
