About The Position

This position must be capable of handling multiple priorities in a high-volume setting relating to the various subject matter areas within the Office of Safe Schools (OSS). This is a highly responsible and professional position that will serve as an assistant to Contract Managers for the Office of Safe Schools. This position is responsible for performing technical, consultative, and administrative work. This position will collaborate with each section within the office and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented.

Requirements

  • At least 1 year of professional experience in a position involving public contact.
  • High School diploma or equivalent
  • Proficient in Microsoft Office Suite
  • Strong analytical and quantitative skills.
  • Ability to attend to details and meet deadlines.
  • Ability to conduct research, provide reports and analyses as required.
  • Ability to work independently and multi-task.
  • Skilled in Microsoft Excel, Word, Outlook, and PowerPoint software.
  • Excellent written and verbal communication skills.
  • Ability to deal effectively with a variety of people

Responsibilities

  • Conduct grant and contract monitoring and reviews for program compliance.
  • Review grants/contracts and recommend for approval change requests and invoices submitted.
  • Provide technical assistance to grant applicants on program requirements.
  • Monitor budget, expenditure, and reporting requirements.
  • Assist in the development and implementation of grant and contract management, including budget, expenditure, report and correspondence requirements.
  • Receives and approves all invoices for grants/contracts.
  • Maintains records of payments and outstanding invoices.
  • Maintains all financial records related to the management and operation of the grants/contracts.
  • Works closely with program offices for which contract work has been requisitioned.
  • Coordinates the distribution and processing and assists in the monitoring of multiple Statewide grants.
  • Coordinates with appropriate program personnel in the development, implementation, and appropriate procedures for calls for applications.
  • Complete special assignments and perform related duties as assigned.
