About The Position

Big Bend Community College invites applications for a Program Specialist 2 in the college's Admissions & Registration Department. This position manages admissions and enrollment processes for new and continuing students, including specialized programs such as Running Start, College in the High School, and international admissions. This role serves as a primary point of contact for students and external partners, ensuring accurate records, compliance with policies, and a seamless admissions and enrollment experience. This position reports directly to the Director of Enrollment Services & Registrar and is part of our supportive Student Services team, which includes Financial Aid, Counseling, Advising, Disability Support Services, and others. Requirements

  • Knowledge of admissions, enrollment, and student records processes, including specialized programs such as Running Start and College in High School.
  • Knowledge of applicable federal, state, and institutional laws, regulations, policies, and procedures related to admissions, enrollment, records management, and FERPA.
  • Knowledge of customer service principles and practices.
  • Knowledge of office technology, Microsoft Office Suite, electronic records systems, and student information systems such as PeopleSoft/ctcLink.
  • Knowledge of records retention, confidentiality requirements, and data security standards.
  • Knowledge of project coordination and process improvement principles.
  • Skill in researching, interpreting, and applying laws, regulations, policies, and procedures to a variety of situations.
  • Skill in analyzing information, identifying issues, and developing appropriate solutions.
  • Skill in organizing, prioritizing, managing multiple projects and competing deadlines.
  • Skill in maintaining accurate records and ensuring data integrity.

  • Bachelor’s degree or an associate degree and at least two (2) years of relevant work experience.
  • Experience maintaining student, patient, customer, or other confidential records and database systems while providing customer or administrative support services.
  • Experience working effectively with individuals from diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds.
  • Proficiency with office technology and software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams) and zoom.

Nice To Haves

  • Experience working with post-secondary education systems and/or admissions processes.
  • Working knowledge of Washington State Running Start and/or other Dual Enrollment programs, including but not limited to College in the High School and Career and Technical Education (CTE) programs.
  • Bilingual proficiency in English and Spanish.
  • Knowledge of the Family Educational Rights and Privacy Act (FERPA) or similar student, patient, customer, or employee privacy laws, regulations, and best practices.

Responsibilities

  • Coordinate and administers admissions and enrollment processes for new students and specialized programs, including Running Start, College in the High School, and international admissions.
  • Serve as the primary point of contact for students, staff, high school partners, and external organizations regarding admissions, enrollment, and program-related processes.
  • Develop, implement, and maintain procedures to ensure effective operation of specialized admissions and enrollment programs while maintaining compliance with institutional, state, and federal requirements.
  • Monitor legislative and regulatory changes affecting admissions and enrollment programs; recommend and implement process changes to maintain compliance.
  • Coordinate special initiatives and projects related to Running Start and other specialized enrollment programs.
  • Review and investigate potentially fraudulent admission applications; processes suspected fraud cases in accordance with SBCTC guidelines and refers findings to appropriate authorities.
  • Prepare, validate, and submit required enrollment, billing, and compliance reports, including Running Start enrollment and reimbursement reports, National Student Clearinghouse reporting, and other state and federal reporting requirements.
  • Maintain accurate student admissions and enrollment records in accordance with college policies, state regulations, and records retention requirements.
  • Utilize ctcLink and other information systems to compile, analyze, and produce reports supporting enrollment management, program administration, and compliance activities.
  • Ensure the accuracy and integrity of student data and enrollment information used for internal decision-making and external reporting.
  • Monitor enrollment trends, reporting requirements, and operational procedures to support institutional effectiveness and compliance.
  • Provide guidance and consultation to students, employees, faculty, administrators, and community partners regarding admissions, enrollment, residency, registration, records, and specialized program requirements.
  • Communicate admissions and enrollment information through various formats, including email, phone, virtual meetings, presentations, and in-person interactions.
  • Establish and maintain collaborative relationships with local school districts, community organizations, and college departments to support student access and success.
  • Develop and deliver presentations, training, and informational sessions related to admissions, enrollment processes, and specialized programs.
  • Maintain admissions-related web content, forms, and communication materials to ensure information is current, accurate, and accessible.
  • Analyze admissions and enrollment processes to identify opportunities for increased efficiency, effectiveness, and service improvement.
  • Research and resolve complex student, staff, and program-related issues by applying college policies, procedures, and regulatory requirements.
  • Participate in institutional committees, professional organizations, and SBCTC workgroups related to admissions, enrollment, Running Start, and College in the High School programs.
  • Provide cross-training, documentation, and operational support to team members and other college departments as needed.
  • Perform related duties and special projects assigned in support of Enrollment Services and institutional priorities.
  • Maintain professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensure no injuries to self or others by following safe work practices and policies. This includes, but is not limited to security and safety, understanding of Safety Data Sheets (SDS), equipment, fire, disaster, safe lifting, and body mechanics.
  • Ensure compliance with college policies and procedures and state and federal regulations.
  • Conduct self in a professional manner and ensure the interaction with team members and other support groups is conducted in a courteous and efficient manner conducive to the college’s values.
