About The Position

The Program Reporting Assistant is responsible for efficiently providing incident and issue reporting to TLC Management, Case Managers, and other program team members. This role also involves assisting TLC participants and program team members, and performing assigned duties to ensure a safe and secure facility. The position requires welcoming and greeting individuals in a friendly manner, ensuring participants adhere to TLC rules, and communicating professionally. Accurate and detailed reporting of incidents, issues, and information related to participants, volunteers, and staff is crucial, utilizing verbal reports, phone messages, Housing Ready Reports, and email. A key responsibility includes performing building inspections at the start of each shift to ensure security and safety, checking the cleanliness and orderliness of common areas, verifying functional safety equipment, and ensuring fire exit doors are secure. The role also involves monitoring the video system for activity on the floors and documenting any violations, maintaining a secure and safe environment for participants, and monitoring participant movements, noting and documenting any unusual activity in the daily log book. Support is provided to Team Leaders of Operations, Programs Management, Case Managers, volunteers, and others as needed. Program reporting monitor duties include answering the telephone, taking messages, forwarding calls, and explaining the program when necessary. Visitors are greeted and directed accordingly. A Shift Report form is completed via email, and mail is sorted and distributed. Previous shift reports are reviewed for pertinent information at the beginning of each shift. Other duties may include washing windows, sweeping or shoveling sidewalks, filling soda machines, vacuuming, and laundry. The assistant will also perform Drug Tests and breathalyzer tests when requested by a Supervisor or Case Manager and report needed repairs to Maintenance Voicemail and Supervisors. Maintaining confidentiality, a professional attitude, and appropriate boundaries are essential. The role requires maintaining a stress-free environment, attending team meetings, updating knowledge through periodicals and seminars, advocating for TLC, and demonstrating commitment to Tenfold’s Core Values: Empowerment, Innovation, Integrity, Diversity, Equity and Inclusion, and Teamwork.

Requirements

  • Computer proficient in Word, Outlook and Excel.
  • Ability to provide customer service in a professional manner.
  • Fluency in the English language is required.
  • The ability to interact effectively with participants and service providers under conditions that may be stressful.
  • Sensitivity to cultural and socioeconomic characteristics of population served.
  • A commitment to empowering others to solve their own problems.
  • A conviction about the capacity of people to grow and change.

  • Spanish speaking ability is an added asset, but is not required.

Responsibilities

  • Provide incident and issue reporting to TLC Management, Case Managers, and other program team members.
  • Assist TLC participants and program team members.
  • Perform assigned duties to ensure a safe and secure facility.
  • Welcome and greet all individuals entering the facility and participants in a friendly and cordial way.
  • Ensure participants abide by TLC's participant rules and be knowledgeable of requirements to be a participant at Transitional Living Center.
  • Communicate in a professional manner to all.
  • Accurately and with detail report incidences, issues and information relating to TLC program participants, volunteers, and staff via verbal reports, phone messages, Housing Ready Reports and email.
  • Perform a building inspection at the start of your shift to make sure building is secure and safe (e.g., kitchen, lounge, family room is clean and orderly, all safety equipment is functional, fire exit doors are secure etc.).
  • Be aware of activity on the floors by monitoring video system and document any violations.
  • Maintain a secure and safe environment for participants.
  • Monitor participants as they come and go and note any unusual activity, documenting it in the daily log book with complete details.
  • Provide support to Team Leaders of Operations and Programs Management, Case Managers, volunteers and others as needed.
  • Answer telephone, take messages, forward calls and explain program when necessary.
  • Greet visitors and determine nature of business, directing or assisting them accordingly.
  • Complete Shift Report form via e-mail.
  • Sort and distribute mail into participant mail boxes.
  • Review e-mail shift end reports from previous shift for pertinent information at the beginning of each shift.
  • Perform other duties as assigned (e.g., wash windows, sweep or shovel sidewalk, fill soda machines, vacuuming, laundry etc.).
  • Perform Drug Tests and breathalyzer tests when asked by Supervisor or Case Manager.
  • Report needed repairs to Maintenance Voicemail as well as Supervisors.
  • Maintain confidentiality.
  • Maintain a professional attitude and boundaries at all times.
  • Maintain a stress-free environment with TLC.
  • Attend program reporting monitor team meetings and TLC staff meetings as scheduled.
  • Update knowledge by reading relevant periodicals and attending seminars.
  • Advocate for TLC.
