About The Position

CACI is seeking a Program Operations Support to join their growing team. This role involves coordinating the day-to-day rhythm of the program, maintaining schedules, organizing artifacts, supporting procurement, enabling cross-functional coordination, and preparing status reports. Additionally, the role manages deliverables and documentation, including establishing calendars, coordinating content development, tracking readiness, and managing document control. The position also involves material handling and export/import (EXIM) coordination, including determining export classifications, preparing shipping documentation, and driving receiving/inspection readiness for specific shipments.

Requirements

  • Bachelor’s degree in Business, Engineering, Supply Chain, Operations Management, or related field; equivalent experience considered.
  • 3–5+ years in program operations, project coordination, or PMO roles supporting technical or manufacturing/development programs.
  • Demonstrated experience managing deliverables/workflows (calendars, templates, reviews, approvals) and maintaining audit‑ready documentation.
  • Proficiency with MS Office Suite for preparing executive summaries, briefings, and formal deliverables.
  • Strong organization, communication, and stakeholder management skills; proven ability to synthesize complex information into clear actions.
  • Ability to handle sensitive documentation and follow controlled processes and permissions; willingness to learn export/import fundamentals in coordination with compliance teams.

Nice To Haves

  • Experience with Integrated Logistics Support (ILS) artifacts and sustainment planning
  • Import/Export (EXIM) experience supporting shipments into Canada or other international destinations (preferred; not required).
  • Experience with Project Management software (MS Project, Jira, etc)
  • Experience with government contracting
  • Hands‑on material handling, receiving/inspection, kitting, and pack‑and‑ship standards
  • Certifications (nice to have): PMP, CAPM, PMI‑ACP, or export compliance training.
  • Experience with ERP/MRP systems and basic data analysis for operational metrics.

Responsibilities

  • Coordinate the day‑to‑day rhythm of the program: schedule recurring meetings, publish agendas, capture decisions and actions, and drive follow‑through to closure.
  • Maintain the Integrated Master Schedule (IMS) or equivalent timelines; monitor dependencies and milestones; surface risks to scope, schedule, or cost early with clear mitigation plans.
  • Keep program artifacts organized and current (plans, registers, logs, trackers, dashboards); ensure version control and a single source of truth in the designated repositories.
  • Support procurement tracking in partnership with finance and supply chain; monitor commitments, receipts, and variances.
  • Enable cross‑functional coordination (engineering, logistics, QA, supply chain, contracts); remove blockers and ensure teams stay aligned on objectives and deliverables.
  • Prepare concise status reports and executive summaries for reviews and stakeholder updates; translate complex information into clear, actionable insights.
  • Establish a deliverables calendar and submission workflow (draft, review, approval, release); maintain checklists, templates, and acceptance criteria.
  • Coordinate content development with subject matter experts; ensure quality, consistency, and compliance with applicable standards, policies, and contractual requirements.
  • Track deliverable readiness, review comments, and dispositions; maintain traceability and audit‑ready records of approvals and versions.
  • Manage inbound/outbound document control: naming conventions, metadata, access permissions, and archival to meet program retention needs.
  • Support continuous improvement of deliverable processes (cycle time, first‑time‑right rate, review efficiency) through metrics and retrospectives.
  • Partner with Global Trade/Compliance to determine export classifications (e.g., EAR/ITAR), licensing needs, provisos, and proviso tracking for all outbound shipments.
  • Align processes to GTCO guidance and internal export compliance practices.
  • Prepare and validate shipping documentation
  • Drive receiving/inspection readiness, inventory control, and kitting for Canada‑bound lots; resolve exceptions and discrepancies quickly with suppliers and freight forwarders.
