About The Position

The Issuance Program Officer helps the supervisor to oversee the vital records issuance program by ensuring the smooth processing, verification, and issuance of crucial documents, including birth and death certificates. This position receives applications for delayed birth certificates, reviews documents, and creates certificates when proper documentation has been received. Other responsibilities include, but not limited to: maintenance of precise program data; introduction of quality control procedures; facilitation of effective communication with stakeholders and clients; providing technical, administrative, and clerical support; ensuring compliance and confidentiality with relevant laws, regulations, and rules; and preservation of vital records in Montana.

Requirements

• Ability to solve complex problems and navigate antiquated systems effectively
• Strong organizational and time management skills
• Excellent communication and interpersonal abilities
• Skills in exercising judgement and discretion in dealing with sensitive and confidential information
• Bachelor’s degree in human services, business, or related field
• One year of experience in the agency program or related field, preferably in a vital records or records issuance setting
• Other combinations of related education and experience may be considered on a case-by-case basis
