About The Position

The Office of the University Provost at Arizona State University (ASU) is seeking a Program Manager to provide essential operational and administrative leadership that enables the Learning Technology team to advance ASU’s teaching and learning innovation agenda, including initiatives aligned with emerging technologies and AI-related priorities. This role will ensure the seamless execution of high-impact initiatives, including Future of Learning Community (FOLC) Fest, Learning Design Summer Camp, vendor visits, and faculty workgroups, by managing event logistics from planning through execution. The ideal candidate is a detail-oriented program manager with proven experience in event planning, administrative operations, stakeholder engagement, and higher education contexts.

Requirements

  • Bachelor's degree and five (5) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Proficiency with event management and operational platforms such as Google Workspace, Microsoft Office, Airtable, Stova, Qualtrics, Zoom, Workday, and ServiceNow.
  • Experience applying project management methodologies and tools to plan, track, and report on concurrent initiatives across cross-functional teams.
  • Ability to quickly shift priorities and manage competing demands in a fast-paced, dynamic environment.
  • Experience supporting cross-functional workgroups, committees, or institutional initiatives.
  • Experience in higher education, education technology, or faculty development programs.
  • Knowledge of learning technologies, instructional design, or faculty engagement initiatives.
  • Exposure to AI-enabled tools, platforms, or technology initiatives.
  • Activities are primarily performed in an environmentally controlled office setting, with extended periods of sitting, working at a computer, and participating in virtual and in-person meetings.
  • Regularly required to stand, walk moderate distances, and move between offices, meeting spaces, and campus locations.
  • May be required to travel between university campuses and partner locations for meetings, site visits, and event coordination.
  • May require occasional evening or weekend work during event setup and execution.
  • Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds.
  • This position may require driving. Employee must possess a valid US Driver’s license of the appropriate class and required endorsements throughout employment.

Responsibilities

  • Manages hands-on planning, scheduling, and execution of faculty and learning design engagement events, including FOLC Fest and Learning Design Summer Camp.
  • Manages event budgets, venue negotiations, catering, AV, and on-site logistics.
  • Supports ASU’s AI Presidential Priority events and programming.
  • Develops timelines, communication plans, speaker support, and post-event feedback surveys.
  • Organizes learning technology vendor visits by managing the vendor visit request process, aligning with internal stakeholders, building visit schedules, and handling all meeting logistics, including room reservations, hybrid setup, and follow-up communications.
  • Manages purchasing, invoice processing, and procurement requests in accordance with ASU policies.
  • Maintains shared document systems, templates, and records.
  • Drafts announcements, newsletters, and event communications.
  • Sets up and monitors event registration systems.
  • Provides project management and administrative support for Learning Technology workgroups and leadership meetings.
  • Coordinates schedules, agendas, and meeting documentation.
  • Captures and distributes notes and action items.
  • Develops slide decks and communications to ensure continuity and accountability.
  • Organizes team priorities, proposals, timelines, and deliverables.
  • Develops and maintains standardized workflows, tracking systems, and documentation.
  • Maintains project-tracking tools and reporting for leadership, including coordination and visibility for AI-related and emerging technology initiatives.
