About The Position

As one of the fastest-growing academic health centers in the nation, Texas A&M Health encompasses five colleges and numerous centers and institutes working together to improve health through transformative education, innovative research and team-based health care delivery. The Program Manager of Rural Medicine Outreach oversees and coordinates student clinical rotations for the Texas A&M University Naresh K. Vashisht College of Medicine Rural Medicine Program across multiple statewide sites. Serving as the primary contact for rotation logistics, this role works closely with students, faculty, staff, and external clinical and community partners to ensure smooth placement, communication, and compliance from start to finish. Reporting to the Director of Rural Medicine Outreach, the Program Manager provides operational oversight of rotation activities and supports K–12 and community outreach initiatives that promote medical careers in rural and underserved areas.

Requirements

  • Bachelor’s degree in an applicable field or an equivalent combination of education and experience
  • Five years of related experience program coordination

Responsibilities

  • Student Rotation, Program Management and Support Plans, oversees, and coordinates the day-today operations of student clinical rotations across Texas, including rotation schedules, timelines, site placements, logistical coordination, and compliance with all required documentation and administrative processes consistent with Texas A&M University System policies and the applicable requirements of partner hospitals, clinics, and affiliated external organizations.
  • Serves as the central point of contact for all student clinical rotation matters, coordinating with students, Naresh K. Vashisht College of Medicine faculty and staff, partner hospitals and clinics.
  • Supports students throughout the full rotation lifecycle while contributing to capacity planning and site utilization to maintain placement availability and smooth operational continuity.
  • Communicates extensively with students to provide clear guidance on rotation expectations, schedules, site requirements, travel, housing, and reimbursement processes.
  • Ensures completion of all required rotation documentation, compliance requirements, and evaluation processes, and provides coordination and problem-solving support for rotation-related issues in collaboration with internal and external stakeholders.
  • Manages student travel related to clinical rotations, including completion and review of required travel documentation from start to finish, assistance with travel planning, housing coordination, and manage all rotation travel reimbursement processes in accordance with university and program guidelines.
  • Coordinates closely with the Director of Rural Medicine Outreach and Naresh K. Vashisht College of Medicine faculty, staff, and leadership to support rotation needs and ensure alignment with academic and program requirements.
  • Works in collaboration with the Office of Rural Medicine to support student placements at external clinical sites; supports day-to-day coordination with clinics, hospitals, physicians, and medical staff as needed.
  • Provides functional oversight of student rotation activities, ensuring consistency, accuracy, and continuity of rotation operations across multiple sites.
  • Addresses student questions and concerns, resolves logistical issues, and ensures timely, clear, and professional communication before, throughout and end of the rotation experience.
  • Maintains organized and accurate records related to student placements, site contacts, rotation schedules, travel documentation, reimbursement materials, and program records.
  • Coordinates travel and related business processes for rotation participants, including reimbursements and other rotation-related administrative requirements.
  • Provide oversight and guidance to student workers and/or staff supporting rotation activities, as assigned.
  • Stakeholder & Community Engagement Supports the formation of new community stakeholder teams and helps maintain and strengthen relationships with existing partners.
  • Builds and maintains effective working relationships with internal and external stakeholders in collaboration with the Director of Rural Medicine Outreach, including Naresh K. Vashisht College of Medicine faculty and staff, clinical partners, community organizations, Texas A&M University entities, and Texas A&M University System partners.
  • Communicates regularly with clinics and hospitals across Texas regarding rotation logistics, schedules, and site-specific requirements, while deferring primary institutional relationship management to the Director of Rural Medicine Outreach.
  • Under the guidance and direction of the K-12 Director and Program Manager, collaborate with community organizations, Independent School Districts (ISDs), and other educational partners to support K–12 medical education and pipeline programs.
  • Assists with coordination of activities that promote medical education awareness among K–12 students, including outreach events, site visits, presentations, and community-based programs.
  • Supports opportunities for medical students to participate in K–12 outreach, mentorship, and community engagement activities by coordinating schedules, logistics, communication, and participation tracking.
  • Provides project coordination support for initiatives related to student rotations, community engagement, and educational outreach, including planning, timelines, logistics, and stakeholder communication.
  • Development and Retention Provides administrative support for office operations, including maintaining records and tracking of affiliation agreements.
  • Assists with the development, implementation, and maintenance of procedures, workflows, and tracking tools related to student rotations and outreach activities.
  • Compiles information and prepares reports related to student placements, participation in community and K–12 programs, travel and reimbursement activity, and overall rotation operations.
  • Supports continuous improvement efforts to enhance student experience, communication effectiveness, stakeholder engagement, and operational efficiency.
  • Develops and conducts programs including leadership training, conferences, seminars, and workshops.
