About The Position

The Program Manager, Research Operations position reports to the Director, Research Operations. This position is responsible for assisting with the activities required to support the function of Research Operations and the Research Community. Research Operations is the Medical Center’s administrative body that supports its basic and clinical research program.

Requirements

  • Bachelor's degree required; Master's degree preferred.
  • 3-5 years related work experience required, including 1 year of supervisory/management experience required.
  • Experience in program development and implementation.
  • Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications.
  • May produce complex documents, perform analysis and maintain databases.
  • Ability to communicate complex information in English effectively in writing to all levels of staff, management and external customers across functional areas.
  • Ability to verbally communicate complex concepts in English and address sensitive situations, resolve conflicts, negotiate, motivate and persuade others.
  • Ability to demonstrate broad and comprehensive knowledge of theories, concepts, practices and policies with the ability to use them in complex and/or unprecedented situations across multiple functional areas.
  • Ability to act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows.
  • Ability to lead operational initiatives to meet or exceed customer service standards and expectations in assigned unit(s) and/or across multiple areas in a timely and respectful manner.

  • May also utilize AutoCAD for maintenance of floor plans, space design, and planning.

Responsibilities

  • Maintains an accurate accounting of research space assignments through the research space database.
  • Performs space surveys to ensure the accuracy of research space assignments.
  • Provides analysis and preparation of real-time reports for research space and investigator dollar density.
  • Works closely with departments and institutional leadership to support research recruitment efforts, including evaluating and coordinating space allocations for incoming recruits based on approved guidelines, available capacity, and strategic priorities.
  • Serves as a liaison with Research Facilities and other operational departments to coordinate space planning, renovations, moves, and infrastructure needs in support of the research enterprise.
  • Interacts with research community members and participates in facility-wide planning efforts as required.
  • May also utilize AutoCAD for maintenance of floor plans, space design, and planning.
  • Assists the Director and Research Operations staff with the management of various programs and projects that impact research.
  • Serves as a liaison between research and other Medical Center departments and may represent Research Operations on BIDMC committees, as assigned.
  • Prepares and manages the capital budget for research and performs related financial and accounting activities.
  • Maintains records of capital expenses to be budgeted.
  • Assists senior managers with capital budget preparation, monthly analysis, forecasting, and variance reporting.
  • Develops the business plan in collaboration with the program director and leaders.
  • Identifies strategies, objectives, and timetables for the implementation, monitoring and evaluation of the plan.
  • Updates plan as necessary to reflect challenges and the changing needs of the program.
  • Ensures that all program policies and procedures are developed and up to date.
  • Develops program-specific performance measures to assess effectiveness and success of program components.
  • Implements data collection processes and communicates performance through periodic reports to working and executive groups.
  • Promotes program to internal and external audiences.
  • Explores and executes internal and external fundraising opportunities for the program.
  • Develops proposals and costing for program developments and presents to director and leaders for approval.
  • Manages advisory board / council or committee activities.
  • Sets agendas, facilitates meetings and ensures goals and activities are realized.
  • Has the authority to direct and support employees daily work activities.
  • Has the direct responsibility to undertake the following employment actions: hiring, termination, corrective action and performance reviews.
  • Assists in planning, monitoring and/or managing budget in functional area of department.
