About The Position

Under general direction, coordinates and manages human resources, administrative, financial, supervisory, and operational functions for the School of Music, Dance and Theatre. Serves as a key liaison between the school, the Herberger Institute for Design and the Arts, and central university offices. Provides support to faculty, staff, student workers, and academic leadership by managing complex personnel, financial, and administrative processes.

Requirements

  • Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Ability to manage high-volume, confidential, detailed, and time-sensitive work
  • Ability to meet deadlines with accuracy

Responsibilities

  • Manage academic personnel and business affairs for the School of Music, Dance and Theatre
  • Serve as the primary resource for HR-related issues and inquiries, processing HR-related transactions, monitoring employee required training, maintaining personnel documentation, and ensuring compliance with university policies and procedures.
  • Serve as the primary resource for Academic Personnel Actions, managing promotion and tenure reviews, probationary reviews, sabbatical requests, multi-year reviews, administrative appointments, annual reviews, resignations, and retirements.
  • Serve as the primary resource for Recruitment and Hiring, managing faculty and staff search processes, coordinating session faculty hiring, summer appointments, hiring for faculty associates, teaching assistants, and student workers, supporting staff promotion requests, managing documentation for employee hires, and maintaining and implementing school onboarding procedures.
  • Serve as supervisor for business office staff and student workers, including supervising, training, and evaluating assigned staff, managing activities, monitoring work, reviewing job performance, and implementing corrective action as needed.
  • Support financial operations of the Business Office, including reconciling accounts and payroll, processing and approving financial transactions in Workday, managing PCards, authorizing purchases, preparing periodic and annual financial reports, and preparing budget requests.
  • Create and develop systems, tools, and policies, including managing e-sign systems for the school (AdobeSign), creating, updating, and distributing process and user guides, assessing unit operational functions, developing and implementing policies, procedures, and objectives, recommending and monitoring compliance with department policies and procedures, and initiating and preparing administrative reports and documents.
  • Communicate with department and university administrators, serving as liaison with the Herberger Institute for Design and the Arts, collaborating across academic, HR, finance, and administrative units, resolving or assisting with the resolution of sensitive issues, and establishing and maintaining effective working relationships.
