About The Position

University Enterprises Corporation at CSUSB ("UEC") supports the university's educational mission by providing quality services that complement the instructional program. The University depends upon UEC to provide services that cannot be supported with state funds. We’re responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects.

Requirements

  • Bachelor’s Degree.
  • At least 2 years of CEME Office or University experience, and/or 4 years of general office experience.
  • Must possess the ability to track and coordinate multiple tasks, determine priorities, set deadlines and complete projects in a timely manner.
  • Applicants must have demonstrated the ability to establish and maintain a cooperative working relationship with a diverse group of people.
  • Applicants must demonstrate a high degree of initiative and be able to work independently to establish and accomplish priorities and to deal with multiple tasks simultaneously.

  • Accounting experience – fluency in working with Excel and/or Google spreadsheets.

Responsibilities

  • Collaborate with the CEME/ICMP Director to create and maintain CEME work plans that include key milestones and outcome objectives as outlined by contracts and proposals.
  • Prepare monthly program financial reports for the Director, including profit and loss budget vs actual and reconciliation with UEC financial reports.
  • Support the CEME/ICMP Director in preparation of periodic reports to CEME/ICMP partners, Advisory Board and other stakeholders. This Program Manager includes data collection, management and reporting for grant purposes.
  • Support the CEME/ICMP Director in writing grant proposals, including drafts of aspects that directly relate to the incumbent’s work (i.e. Budgets, Scopes of Work, data collection, etc).
  • Coordinate and oversee the day-to-day implementation of program work plans to ensure they are on track to achieve identified milestones and objectives, including managing office staff and/or program support staff (i.e. independent contractors, faculty). Ensure that all fiscal and administrative commitments associated with grants, contracts and programs are met in a timely manner and in accordance with sponsor agency regulations and CSUSB Foundation policies and procedures. This will include overseeing payroll, budgeting, invoicing, and support staff required paperwork for multiple grants/projects.
  • Be responsible for all aspects of implementation of CEME/ICMP activities, including purchasing, creation of fliers, coordinating locations, advertising, notifying participants, providing support to instructors, maintaining accurate records, etc. This may include setup, event coordination, and clean-up; and may include some travel to event locations.
  • Be responsible for maintaining accurate and complete records/filing systems including electronic filing of scanned and other documents in accordance with CEME/ICMP office procedures.
  • Hire, train, and supervise CEME staff and mentor them in their work, including assigning tasks and ensuring quality of results.
  • Maintain productive working relationships with CEME/ICMP stakeholders, including faculty, staff, and students at CSUSB; Region 10 County Offices of Education, districts, and community via telephone, website, email, or other grant related platform.
  • Support data collection for research, proposals, and internal and external reporting and evaluation purposes.
  • Preparing and tracking receipt of event materials, sending reminders to participants, and coordinating various aspects of the projects by keeping track of registrations, reserving rooms, and setting up catering. Under the general supervision of the Director, the incumbent will ensure that various tasks assigned to student assistants are completed in a timely manner. The incumbent will enter and track participant information in various databases, track project participation, and keep detailed records of data for research aspects of the grant.
  • The incumbent will also be responsible for purchasing, processing financial paperwork, tracking expenses for the projects, financial reporting, and managing the budgeting process for the project. The incumbent will help to ensure that project divisions are achieving their budget and cost share goals. The incumbent will perform all other duties as assigned.
  • Work with the Director and/or program external evaluators to plan and implement systems to track and monitor grant activities so that progress can be reported consistently and timely
