About The Position

The Program Coordinator plays a crucial role in supporting the organization’s administrative functions and project management initiatives. This position requires a highly organized individual who excels in communication, meeting management, and documentation processes. Key responsibilities include coordinating meetings and events, maintaining training and meeting materials, and assisting in the development of project protocols. The individual will also manage staff documentation and ensure effective inventory management. By maintaining efficient workflows and fostering collaboration among team members, the Program Coordinator contributes to the achievement of the organization's strategic goals while modeling SSHCO’s mission and values.

Requirements

  • Bachelor’s degree or equivalent REQUIRED.
  • At least one year of professional experience in public health, social service, customer service, administration, or healthcare industry REQUIRED.
  • Ability to improvise, problem solve and adapt in any situation.
  • Ability to work on a team with multiple projects within tight time constraints.
  • Excellent interpersonal skills, including the ability to resolve conflict.
  • Strong verbal and written presentation and communication skills with all levels of employees internally and externally.
  • High level of integrity.
  • Demonstrated commitment to racial and health equity.
  • Strong computer skills including proficiency in Microsoft Excel.
  • Strong organizational, oversight, and problem-solving skills.
  • A valid driver's license, reliable transportation, and proof of automobile insurance are required.

Responsibilities

  • Maintain effective written and verbal communication with staff and others through appropriate and considerate interactions.
  • Model SSHCO’s mission, vision, and values while ensuring discretion and confidentiality.
  • Perform basic administrative duties such as photocopying, electronic mailing, sending mail, faxing, tracking, and securely storing equipment.
  • Submit check requests or purchase orders and organize and maintain program records (both physical and electronic files).
  • Schedule and organize meetings and events for assigned projects, including sending agendas, taking meeting minutes, and tracking action items.
  • Assist in developing protocols and guidelines for assigned projects, ensuring clear communication of any new or changed procedures to project staff.
  • Create reports, presentations, tables, graphs, and other documentation as needed to support project goals.
  • Management and printing of training materials.
  • Support other projects related to the strategic goals and administration of assigned initiatives.
  • Collaborate with supervisors to onboard new staff, ensuring secured office space and the provision of necessary equipment, technology, and supplies.
  • Monitor office supply inventory, order supplies as needed, and manage the outreach calendar to coordinate schedules and events effectively.
  • Perform other duties as requested.
