About The Position

This Position is temporary and limited to 900 hours. Under general supervision, coordinates and administers financial, operational, and project-related activities supporting the Planning, Sustainability, and Project Management (PSPM) department's capital and non-capital project programs. Serves as a resource for project managers, campus partners, contractors, and funding stakeholders by facilitating project administration, monitoring financial and contractual activities, maintaining program records, preparing reports and analyses, and ensuring compliance with University policies and procedures. Supports the successful execution of departmental programs and initiatives through effective coordination, communication, process improvement, and management of project-related information and resources.

Requirements

  • Bachelor’s degree.
  • A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position.
  • Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.
  • Proficiency in university systems, including Banner, FCPWeb, FMWeb, PRZM, iBuy, Emburse Enterprise (Chrome River), MyUIFinancials, FABWeb, EDDIE, and Document Direct.

Responsibilities

  • Coordinate and administer financial and operational activities for capital and non-capital projects, ensuring project expenditures, obligations, and related documentation are processed accurately and in accordance with university policies and procedures.
  • Review, coordinate, and maintain project-related administrative and financial documents, including contracts, change orders, requisitions, purchase orders, service agreements, and other supporting records to facilitate effective program operations and compliance.
  • Prepare and maintain program reports, financial summaries, project status updates, management reports, and project closeout documentation for capital improvement projects funded through state, federal, gift, grant, auxiliary, and other funding sources.
  • Coordinate the administrative processes required for the initiation, continuation, modification, and closure of capital and non-capital projects, ensuring accurate records and timely completion of required documentation.
  • Monitor, review, reconcile, and analyze financial transactions, project accounts, and related records to support program objectives and ensure accuracy, completeness, and compliance with university policies, accounting standards, and applicable regulations.
  • Serve as a resource for project managers, departmental staff, and campus stakeholders by providing guidance on project-related financial procedures, administrative requirements, and program processes.
  • Utilize and maintain proficiency in university systems, including Banner, FCPWeb, FMWeb, PRZM, iBuy, Emburse Enterprise (Chrome River), MyUIFinancials, FABWeb, EDDIE, and Document Direct, to support program administration, reporting, data analysis, and record management.
  • Assist in the development, implementation, and continuous improvement of program procedures, workflows, reporting tools, and operational practices that enhance efficiency and support departmental goals.
  • Collaborate with campus departments, consultants, contractors, funding agencies, and other stakeholders to coordinate program activities, resolve issues, ensure successful project delivery and compliance with established requirements.
  • Assist with audits, fiscal year-end activities, special projects, strategic initiatives, and other programmatic or operational activities as assigned.
  • Perform other related duties and responsibilities as assigned by the Assistant Director.
  • Perform other related duties and participate in special projects as assigned.
