About The Position

With guidance, the Supply Chain Program Coordinator will support supply chain and procurement programs, including P-Card administration, public records requests, compliance monitoring, and data coordination for internal performance metrics and federal reporting requirements. This role will assist in maintaining procurement integrity, compiling documentation for audits, and supporting key reporting functions related to supplier performance and federally funded procurement activity. The ideal candidate is a critical thinker that is highly organized, detail-oriented, and capable of managing processes and reporting workflows.

Requirements

  • Associate's degree and one (1) year of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Working knowledge of ASU procurement policies, ABOR, public records, P-Card administration, and federal compliance requirements.
  • Proficiency in data tracking, entry, and analysis using tools such as Excel, Google Sheets, and procurement and other tools or reporting systems.
  • Strong organizational skills with the ability to manage detailed records and multiple concurrent workflows.
  • Excellent communication and coordination abilities to support cross-functional collaboration across administrative and operational teams.
  • Understanding of supply chain performance metrics or a demonstrated willingness to learn.
  • High level of accuracy and integrity when handling financial and confidential data.
  • A continuous improvement mindset and a proactive approach to supporting compliance, reporting, and procurement effectiveness.

Nice To Haves

  • Experience administering supply chain programs or financial compliance role.
  • Familiarity with procurement or financial systems (e.g., Workday, PeopleSoft, Concur).
  • Exposure to sustainability or supplier performance reporting is a plus.

Responsibilities

  • Administer and maintain the Procurement Card (“P-Card”) program, including new card issuance, user training, and usage monitoring.
  • Review P-Card transactions for compliance with policy and applicable regulations; flag and follow up on discrepancies.
  • Evaluate, search, retrieve, redact and document public records requests using an understanding of public records processes, requirements and systems in collaboration with Office of General Counsel (“OGC”).
  • Assess and provide timely support for federal procurement reporting requests (e.g., Uniform Guidance, FFATA, Buy American Act) by collecting and validating required data.
  • Track and compile supplier performance data to support internal metrics and quarterly scorecard reviews.
  • Assist in developing and maintaining dashboards and reports that support sourcing, procurement, and compliance initiatives.
  • Maintain accurate records and documentation to support audit readiness for P-Card and federally funded purchases.
  • Coordinate with internal stakeholders to ensure appropriate use of procurement tools and processes.
  • Support cross-functional efforts to align procurement activity with sustainability, performance, and compliance objectives
