These groups include referral sources, managed care organizations, local and state governmental officials, regulatory bodies, etc. Ensures all stakeholder communications are proactive and responsive. Additionally, assists in the overall management and functioning of the program. Required Competencies (Manager/Director)

Responsibilities

  • Develops and maintains positive relationships with key stakeholders.
  • Ensures stakeholder satisfaction with the company by maintaining proactive, responsive communication.
  • Maintains regular, proactive communication with key stakeholder groups, and builds new relationships as needed to further the company’s mission, vision, and referral sources.
  • Directs Communication with Management and colleagues.
  • Establishes and maintains frequent and regular communication with program director and staff to assure smooth program functioning.
  • Training/Supervision. Participated in all regulated trainings or trainings as they apply to their position as needed.
  • Participates in group supervision and staff meetings in accordance with program and company requirements
  • Accept new referrals from outside sources and confirm eligibility for services.
  • Assists program in Preparing and submitting required paperwork to coordinate referrals/authorization for services to the Department of Public Welfare, managed care companies, and/or other governmental bodies in a timely manner.
  • Runs EVS checks upon intake, and the 1st and 15th of every month to monitor client’s insurance eligibility.
  • Represent the company as a liaison to county offices, managed care companies, Department of Public Welfare, schools, and all other providers involved with client care.
  • Monitor services provided to ensure services are within the prescribed authorization period and within the approved limit of hours.
  • Communicate with parent/guardian regarding client progress/concerns through quality-of-service verification calls.
  • Monitor effectiveness of treatment protocols, through weekly Electronic health records checks, monitored on a shared spreadsheet, to assure compliance with regulated timeframes for all intakes and ongoing assessments/annual forms and treatment plan due dates and report treatment concerns to supervisor.
  • Scan any paper forms/documents required to be inputted into electronic health record on a regular basis to maintain audit readiness.
  • Complete on-boarding and off-boarding of clients within electronic health record
  • Complete quarterly POMS in the CCBHO portal
  • Send re-engagement letters as applicable.
  • Schedule and facilitate interagency meetings, as necessary by sending out ITM letters.
  • Prepares and sends out PCP letters to primary care doctors.
  • Assists program director in the cross-referencing Electronic health records for accuracy in times and recipient code entries prior to checking for clinical relevance.
  • Runs varies Electronic health records reports as it pertains program need.
  • On a temporary basis, perform responsibilities associated with the Mental Health Worker position, as directed.
  • Assist in the completion of bi-annual linkage letters.
  • Assist in preparation process prior to audits and reviews.
  • Complete miscellaneous paperwork/reports as directed.
  • Complete and submit EHR entries accurately and in a timely manner in accordance with company policy.
  • Maintain client confidentiality per company policy, HIPAA Privacy Rule regulations, and the Department of Public Welfare/CASSP principal guidelines.
  • Adhere to company policies and procedures.
  • Performs other related duties as assigned.
  • Complete criminal background Name checked in the registries. (OIG exclusions database, Child Abuse Registry, and Offenders Against Individuals with Developmental Disabilities)
  • Drug testing Education verification and other credentialing based on position requirements.
  • Proof of employment history or references (if required)
  • Proof of driver's license, driver's insurance, and vehicle, IF required for providing transportation for individuals.
