About The Position

Kent, Campa and Kate Incorporated (KCK) is a federal contracting company that provides professional services to Government Agencies. We are currently seeking candidates for a Program Coordinator position in Arlington, VA at the National Foreign Affairs Training Center (NFATC), formerly the Foreign Service Institute (FSI). Program Coordinators provide administrative, operational, and substantive support to leadership teams and organizational programs in the Front Office (FO). They serve as a central coordination point for office activities, ensuring effective communication, workflow management, stakeholder engagement, reporting, and execution of organizational priorities. Program Coordinators are expected to demonstrate sound judgment, initiative, and professionalism while independently managing routine business activities and resolving non-routine issues in support of leadership objectives.

Requirements

  • At least one (1) year of graduate level education in Business Management, Organizational/Administration Management or related disciplines.
  • OR a BA and at least two (2) years of experience in office management and administration roles supporting Senior Team Leadership (Executive / C-Suite)
  • Proficiency in Excel, PowerPoint, Word, Zoom, Outlook, Teams, and SharePoint.
  • Candidates must possess U.S. Citizenship.

  • Experience in creating and analyzing Qualtrics surveys.

Responsibilities

  • Provide direct support to leadership by coordinating schedules, meetings, appointments, and office activities;
  • Draft, edit, and distribute correspondence, memoranda, briefing materials, reports, and other official communications;
  • Coordinate leadership calendars and manage competing requests in accordance with established priorities and office requirements;
  • Arrange meetings and events, including scheduling participants, reserving meeting space, preparing materials, recording action items, and tracking follow-up activities;
  • Monitor office workflows, suspense items, and taskings to support timely completion and leadership awareness;
  • Maintain office records, files, contact lists, and organizational documentation;
  • Identify administrative process efficiencies and recommend solutions to enhance office operations.
  • Serve as a primary point of contact for internal and external stakeholders seeking information, guidance, or assistance;
  • Provide responsive customer service and facilitate resolution of routine issues and inquiries;
  • Coordinate communications and information flow between leadership, staff, and partner organizations;
  • Ensure requests, taskings, and inquiries are routed to the appropriate offices and tracked through completion;
  • Support leadership engagements, meetings, visits, conferences, and special events.
  • Coordinate and monitor recurring office activities, organizational initiatives, and business processes;
  • Track action items, deliverables, milestones, and reporting requirements;
  • Compile, organize, and maintain program information and status updates for leadership review;
  • Assist in the development, documentation, and implementation of office procedures, standard operating procedures, and business processes;
  • Support operational reviews, organizational initiatives, and special projects.
  • Collect, organize, and maintain data related to office operations, program activities, and reporting requirements;
  • Prepare recurring and ad hoc reports, dashboards, briefings, status summaries, and other informational products for leadership;
  • Conduct research and gather information to support planning activities, reporting requirements, and special projects;
  • Review information and identify opportunities to improve communication, coordination, and administrative processes.
  • Serve as a liaison between the Front Office and internal directorates, divisions, and external stakeholders;
  • Facilitate coordination across organizational components to support mission requirements and leadership objectives;
  • Ensure timely dissemination of information, policy updates, decisions, and organizational guidance;
  • Support cross-functional collaboration and assist in resolving routine coordination challenges among stakeholders.
  • Maintain organizational information within approved systems, databases, and shared repositories;
  • Support development and maintenance of office reference materials, guidance documents, and knowledge management resources;
  • Ensure accuracy, accessibility, and integrity of organizational records and information.
  • Support special initiatives, executive priorities, working groups, and organizational events;
  • Research, draft, and prepare briefing materials, presentations, reports, and other leadership support products;
  • Participate in efforts to improve customer service, office operations, and administrative effectiveness.
