About The Position

The Program Coordinator, Transcripts & Evaluation supports the daily operations and coordination of the transcript and credit evaluation within Enrollment Services Operations. This role is essential in maintaining a smoot, accurate, and student-centered workflows. The Program Coordinator maintains and responds to inboxes, oversees the receipt of incoming documents, supports course equivalency processing, and provides administrative and operational support to ensure timely service for applicant and students. This position works closely with the Transcript & Evaluation team in ESP, as well as stakeholders in Enrolment Services, Advising, and academic departments to uphold consistent evaluation practices and contribute to the community college mission of access, equity, and students’ success.

Requirements

  • Bachelor’s degree in a related field.
  • Two (2) years of experience in Higher Education, Enrollment Services, Admissions, Records, or related administrative function.
  • An appropriate combination of education, training, coursework and experience may qualify a candidate.

Responsibilities

  • Coordinates day-to-day activities and projects within the assigned function.
  • Assesses program operational needs and resources and informs leadership.
  • Oversees shared inboxes and coordinates queues related to transcript evaluation, ensuring timely review and routing of incoming documents.
  • Tracks document completeness and communicates with students regarding missing or incomplete documents.
  • Handles Career- Technical Assurance Guides (CTAG) and High School Articulation processing.
  • Organizes and maintains workflow schedules, task lists, and routing procedures to keep daily operations on track.
  • Identifies and finalizes routine course equivalencies under established guidelines and escalates complex cases as needed.
  • Acts as the Subject Matter Expert (SME) to sources, as directed by leadership.
  • Provides hands-on processing or evaluation support during high volume or escalated cases as needed.
  • Maintains data management, document intake, evaluation processing, cleanup, and troubleshooting.
  • Serve as a frontline responder for questions related to transcript processing status, document requirements, and timelines.
  • Communicates clearly and professionally with student populations, including adult learners, veterans, dual-credit students, and international applicants, as well as staff, faculty, and external constituents.
  • Provides guidance on how to submit documents, including digital uploads, official transcripts, PLA materials, and certification evidence.
  • Processes, logs, and maintains incoming college, high school, international, military, and nontraditional/CTE documents.
  • Monitors document tracking logs and ensure all items are properly recorded, archived, or routed.
  • Ensures data accuracy when entering or updating student information in the student information system.
  • Assists with preparing, updating, and maintaining standard operating procedures (SOPs) and process guides.
  • Supports accuracy check and quality control processes for evaluations prepared by the evaluation team.
  • Prepare files and materials for faculty reviewers or subject-matter experts when needed.
  • Maintains organized digital and physical records according to college and state guidelines.
  • Works closely with the Transcripts & Evaluation Program Manager and department to support process improvements and consistent daily operations.
  • Coordinates with offices and departments across the college, including students service areas, academic departments, advising and workforce development teams to ensure smooth, accurate, and student- centered workflows, and identify opportunities for improvements.
  • Participates in meetings and projects related to onboarding, transfer pathways, PLA expansion, or workflow optimization.
  • Assists in training seasonal or temporary staff during peak period.
  • Fosters and maintains a safe environment of respect and inclusion for faculty, staff, students, and members of the community.
  • Regular, predictable, and punctual attendance is required.
  • Attend all required department meetings and training.
  • Manages multiple assignments of varying complexity while meeting federal as well as internal regulations and procedures, with the ability to adapt to changing needs of the College and business partners.
