About The Position

The Program Coordinator will provide operational and administrative coordination for a multi-work package research project under the direction of the Principal Investigator. This role is crucial for managing external consultants and contractors, scientific collaborators, international field activities, equipment procurement and shipment, and the development of project data products. A primary responsibility will be maintaining a forward-looking project workplan and administrative calendar, anticipating administrative steps, dependencies, and lead times to ensure project activities remain on schedule. The coordinator will identify upcoming requirements, initiate administrative processes, follow up on outstanding actions, and flag necessary decisions, approvals, or information sufficiently in advance of project deadlines. Near-term priorities include coordinating consultant and contractor agreements, tracking documentation, approvals, and payments, liaising with Emory administrative offices, and supporting procurement, shipping, and import/export processes for international activities. The position will also identify institutional requirements, assemble information, prepare documentation, and track processes through completion. Additionally, the Coordinator will maintain project schedules, deliverables, and action trackers, coordinate meetings, maintain project records, support travel and logistics, monitor administrative actions, and provide administrative coordination for project activities as priorities arise.

Requirements

  • Bachelor's degree in a field related to the program.
  • Two years of related experience, or an equivalent combination of education, training and experience.
  • Excellent organization and follow through.
  • Attention to detail.
  • Sound judgment about when matters require escalation.
  • Demonstrated ability to anticipate administrative requirements and work proactively within established deadlines.

Nice To Haves

  • Prior experience navigating Emory University administrative systems and processes.
  • Experience with contracting, procurement, payments, research administration, international shipping/import-export processes, and coordination across University administrative offices.

Responsibilities

  • Organizing, coordinating, and planning operational facets of a program and its related activities.

  • Monitoring expenditures and participating in the budget planning process and preparing financial reports.
  • Assisting in identifying funding resources and developing fund-raising strategies and initiatives.
  • Preparing operational and statistical reports.
  • Conducting training, representing the program at meetings and conferences, and networking with affiliated groups.
  • Supervising assigned project staff, interns and/or volunteers.
  • Maintaining a forward-looking project workplan and administrative calendar.
  • Anticipating administrative steps, dependencies, and lead times required to keep project activities on schedule.
