About The Position

Cultural Care Au Pair, a division of EF Education First in Cambridge, MA, is offering a Cooperative Education (co-op) program. This program partners with students' colleges or universities to align academic and career goals with work experience. EF offers various co-ops across its travel, language, and education businesses. The Program Compliance Co-Op (Sales Support), also known as an Education Credit Coordinator, is a key supporting role within the Extensions Team. This position focuses on compliance, documentation, and operational processes to ensure au pairs can successfully extend their program year in the United States. A critical part of this is meeting the Department of State's federally mandated education credit requirement. This role is responsible for collecting, reviewing, and approving education credit documentation from au pairs globally, ensuring accuracy, completeness, and compliance with federal program requirements. By managing compliance timelines and communicating with au pairs, host families, and local coordinators, this role helps the sales team move extension conversations forward without delays.

Requirements

  • Strong attention to detail with a demonstrated ability to review and assess documents accurately and consistently.
  • Excellent written and verbal communication skills, with the ability to convey compliance requirements clearly to a diverse, international audience.
  • Proven ability to manage a high volume of submissions, prioritize competing tasks, and meet deadlines in a fast-paced environment.
  • Highly organized, self-motivated, and comfortable working independently with minimal supervision.
  • Collaborative mindset with experience working cross-functionally, particularly in support of a sales or client-facing team.

Nice To Haves

  • Proficiency in a second language is a plus.
  • Experience working with international students or colleagues, or within a multicultural environment.
  • Experience in education administration, compliance administration, program coordination, or a related field.
  • Familiarity with cultural exchange programs, J-1 visa regulations, or Department of State compliance requirements.

Responsibilities

  • Collect, organize, and track education credit documentation submitted by au pairs throughout their program year, ensuring timely receipt ahead of extension eligibility deadlines.
  • Maintain accurate, up-to-date records of each au pair's education credit status within internal systems, providing the sales team with reliable, real-time compliance data.
  • Review submitted coursework records, transcripts, and certificates to verify they meet Department of State federal program requirements.
  • Approve education submissions or flag incomplete and non-qualifying documentation promptly, ensuring no extension timelines are unnecessarily delayed.
  • Communicate approval decisions, outstanding requirements, and next steps clearly and professionally to au pairs, host families, and local coordinators.
  • Serve as the primary point of contact for education credit inquiries, providing guidance that is accurate, consistent, and aligned with federal program standards.
  • Partner closely with the extension sales team to proactively surface education credit statuses, enabling timely extension conversations.
  • Monitor submission trends to identify recurring issues, gaps, or bottlenecks in the education credit compliance process.
  • Recommend and support the implementation of process improvements that increase efficiency, reduce delays, and improve the au pair experience.
