Requirements

  • High school diploma or equivalent credentials required
  • Proficiency in English required
  • Proficiency in Microsoft Office suite and other standard business technology is required.

Nice To Haves

  • Bachelors Degree preferred.
  • A minimum of one year of administrative work experience preferred.
  • proficiency in a second language preferred
  • Strong oral and written communication, time management and organizational skills are necessary.

Responsibilities

  • Pick up and deliver packages, proposals and reports.
  • Errands throughout the city may be required on a moment notice
  • Enter client and program data into computer databases and other tracking systems
  • Gather information needed for proposals, reports and program management including inventories and fixed asset registers
  • Ensure that client files contain required paperwork and information
  • Update information on community resources ( e.g., bulletin boards, ACES manual)
  • Assist in the preparation of mailings.
  • Provide general clerical support, including filing, faxing, word processing, typing, photocopying and sorting mail.
  • Answer telephones and take messages.
  • Report to, and meet with, supervisor on a weekly basis
  • Complete program reports on a monthly basis or more frequently as requires
  • Support in the completion of Participant Case Notes
  • Assist with the planning of special projects and events as assigned.
  • Organize and facilitate workshops and activities on a needed basis
  • Order program supplies on a need basis
  • Serve as the direct liaison between Parents/Guardian, School Administration and Program Coordinator and Program Director
  • Oversee line staff in the absence of Program Coordinator
  • Perform additional duties as assigned by manager.
