About The Position

Harborview Medical Center’s Mental Health and Addiction Services program has an outstanding opportunity for a Program Assistant. This role is crucial for maintaining program operations, ensuring data integrity, and providing essential support to case managers and mental health practitioners. The Program Assistant will manage records, prepare reports, coordinate meetings, and perform data entry using systems like Epic Care. They will also utilize various software applications for reporting and presentations, manage forms and correspondence, and ensure strict confidentiality of all information.

Requirements

  • High school graduation or equivalent AND Two years of clerical experience.
  • Experience working in a medical or mental health setting.
  • Proficient in Windows-based computer applications, including data entry and management.
  • Demonstrated ability to work both independently and as part of a team.

  • Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Responsibilities

  • Maintain records, files, and statistical data for program operations.
  • Prepare narrative and statistical reports for program activities.
  • Ensure compliance with data reporting requirements for program contracts.
  • Coordinate meetings, conferences, and appointments.
  • Serve as the primary support contact for case managers and mental health practitioners.
  • Perform data entry in Epic Care and manage QI data.
  • Utilize spreadsheet, database, and graphics software for reporting and presentations.
  • Manage forms, correspondence, and assigned projects while ensuring confidentiality.
