About The Position

The ILR Office of Engaged & Experiential Programs (OEEP) seeks a Program Assistant to support a portfolio of experiential learning opportunities, including internships, global service learning programs, academic exchanges, and other engaged learning initiatives. This position provides essential administrative and operational support for OEEP programs and serves as a key point of contact for students, faculty, staff, alumni, and external partners. The Office of Engaged & Experiential Programs provides domestic and international opportunities for ILR students at all points in their collegiate careers. OEEP partners with community groups, international organizations and universities, corporate employers, government agencies, social justice organizations, unions, non-profits and law firms to support meaningful curricular and co-curricular opportunities for ILR students.

Requirements

  • An Associate’s degree with 2 to 4 years administrative experience or equivalent combination of education and work experience is required.
  • Demonstrated service orientation.
  • Demonstrated comfort level with both developed and developing world cultures.
  • Outstanding interpersonal skills and a demonstrated ability to work with diverse clientele to include students, faculty, staff, visitors, and alumni.
  • The ability to manage and prioritize multiple projects/assignments, work under pressure and meet established deadlines.
  • Demonstrated ability to exercise discretion and independent judgment including analytical and problem-solving skills.
  • The ability to plan, organize and coordinate multiple projects, manage events and special assignments.
  • Demonstrated strong attention to detail.
  • Excellent writing, proofreading, and editing skills are necessary.
  • Strong oral and written communication skills.
  • The aptitude & comfort working independently.
  • Prior experience with calendar management and logistical planning.
  • A demonstrated ability to maintain confidentiality is essential.
  • Strong technical and creative skills required in order to design, develop and maintain program web pages.
  • Proficiency with various software such as but not limited to: Excel, PowerPoint, Exchange Outlook e-mail, Salesforce, Canvas, Concur, Kuali, Canva, InDesign, PhotoShop, SharePoint and calendaring system.
  • Regular flexibility in standard work hours is required in order to attend on-campus, after-hour events.
  • Experience modeling values that support inclusion, belonging, and wellbeing.

Nice To Haves

  • Bachelor’s degree with 1 – 2 years relevant experience with an educational background focusing on international issues in the social sciences.
  • International sensitivity via having lived, worked, or studied in another country or culture.
  • Prior experience with labor relations, labor law, human resources, public policy, trade unions or global health.
  • Demonstrated experience working and collaborating with diverse populations
  • Familiarity with Drupal or other web-editing software.
  • Experience in Cornell’s statutory on-line accounting systems and e-shops.
  • Prior event planning experience.
  • Marketing experience.
  • Print/digital design experience.

Responsibilities

  • Provide support to students participating in experiential, domestic and international programs.
  • Assist with international program logistics, including visa application guidance and documentation requirements.
  • Collaborate with campus partners such as Career Services, Student Services, Financial Aid, Global Learning, and Alumni Affairs to support program operations.
  • Provide logistical support for programs, workshops, orientation and events, including room reservations, catering, technology coordination, and communications.
  • Assist with scheduling and managing calendars for information sessions, advising appointments, interviews, and program activities.
  • Coordinate program application processes, maintain program databases, and assist with Canvas and other internal systems.
  • Process and track program-related financial transactions, including student awards, travel reimbursements, and procurement card purchases.
  • Prepare and reconcile Concur expense reports and assist with monitoring and reconciling program accounts.
  • Coordinate student hiring processes and maintain program records and documentation.
  • Supervise student workers as needed
  • Support program recruitment and information sessions.
  • Assist with the development and dissemination of program communications and marketing materials in collaboration with ILR Marketing & Communications.
  • Maintain and update program webpages and online materials.
