About The Position

Belmont University is seeking a qualified Program Assistant to provide support to multiple department chairs and faculty with daily operations. This role involves managing daily administrative tasks, assisting with course scheduling, ordering supplies, processing evaluations, scheduling events, supporting student recruitment, maintaining databases, and managing academic data reports and websites. The Program Assistant will serve as the CEMB representative for student meetings and assist with various college and university events.

Ability to convey information clearly and concisely to groups or individuals either verbally or in writing to ensure that they understand the information and the message. Ability to listen and respond appropriately to others. Ability to impact and influence others to further the institution’s strategic objectives.
  • Technical, Computer, and Software Skills: Ability to use Microsoft Office (Excel, PowerPoint, Word, SCT Banner, Argos, Canva) and basic databases and software.
  • 1-3 years of higher education administrative experience
  • SCT Banner experience
  • Canva experience
  • Working knowledge of databases

Responsibilities

  • Update and manage course scheduling via Classfinder.
  • Provide administrative support for organizational, informational and communication needs to faculty and staff including answering the Curb internships general email as well as assisting and/or fielding student questions.
  • Order general office supplies and classroom supplies.
  • Manage course evaluation publishing each semester (DIG), faculty workload/NIW forms & collect/post course syllabi each semester.
  • Schedule catering and room booking as needed for the departments.
  • Serve as CEMB representative to reserve student meetings.
  • Assist with student recruiting, orientation registration sessions, and college and university events as needed.
  • Maintain contact database of adjunct faculty and communicate semester reminders, due dates and items needed from adjunct faculty.
  • Facilitate processing of Argos and development of academic data reports and manage Canvas/internal websites for CEMB committees.
