About The Position

Skagit Valley College (SVC) is seeking a Program Assistant for the Workforce Grants office to support programs such as BFET, Opportunity Grant, Student Emergency Assistance Grant, and the Supporting Students Experiencing Homeless grant programs. This role involves communicating with students throughout their enrollment and utilization of funding and supportive services. The ideal candidate will possess a student-centered philosophy, prioritizing student needs. This is a 12-month classified, 40-hour per week, onsite position at the Mount Vernon Campus, working in-person Monday through Friday. The position is grant-funded and reports to the Workforce Grants Manager, assisting with administrative tasks for various grant programs.

Requirements

  • High School Diploma or equivalent education and experience.
  • Experience working with multicultural and/or low-income students/clients.
  • Experience using Microsoft platforms to track information.
  • Experience assisting with projects and tracking mechanisms.
  • Proficiency with Microsoft Office and database programs.
  • Demonstrated problem-solving and analytical abilities.
  • Written, verbal, presentation, and interpersonal communication skills.
  • Excellent customer service, communication, and teamwork skills.
  • Computer and technological skills, including software programs, spreadsheets, databases, and word processing.
  • Ability to accept responsibility for the quality and timeliness of work.

Nice To Haves

  • Associate's Degree in Psychology, Human Services, Social Services, Education, or related field.
  • Prior experience working in a community college environment, particularly in Student Services.
  • Experience with ctcLink and TargetX systems, or similar CRM platform experience.
  • Bilingual – English & Spanish, English & Russian, or English & Ukrainian.

Responsibilities

  • Provide basic Workforce Grants information to students regarding application status, outstanding requirements, and next steps.
  • Refer complex or case-specific questions to appropriate Workforce Grants staff or program specialists.
  • Monitor and triage incoming Workforce Grants emails, responding to general inquiries and forwarding others as needed.
  • Perform intake of Workforce Grants documents and forms, preparing and routing them for review and processing.
  • Assist with orientation sessions for OG and BFET students.
  • Provide front desk coverage during office hours.
  • Assist in documenting student information and progress reporting in the DSHS eJAS system.
  • Support general office operations, including scanning, filing, and other administrative tasks.
  • Provide excellent customer service while supporting equitable access to Workforce Grants, college, and community resources.
  • Provide basic SEAG and SSEH information to students.
  • Perform intake of SEAG application documents and forms.
  • Assist in documenting student information and progress reporting for SEAG and SSEH.
  • Other duties as assigned related to Opportunity Grant & BFET, and SEAG and SSEH.
