About The Position

Chatham University invites organized, detail-oriented professionals to apply for the role of Program Assistant, supporting dynamic initiatives that advance student success and community impact. Under limited supervision, provide high level support in areas of communications, fiscal oversight, database development and management, data collection and analysis, report preparation, accreditation, event planning and logistics. This position is an integral part of the day-to-day operations of the Interior Architecture program. The ideal candidate is ambitious, confident and trustworthy with a preference for a fast paced and ever-evolving work culture.

Requirements

  • Minimum of Associate Degree, Bachelor’s Degree preferred.
  • Proficient in all Microsoft Office applications.
  • Excellent written and verbal communication.
  • Ability to communicate task status and completion daily.
  • Ability to interact and work well with faculty, students, alumni, and colleagues.
  • Experience in database design and management; report design and formatting; basic statistical analyses; electronic surveying software.
  • Strong organization skills.
  • Strong communication skills, written skills, computer skills, including website and database design/management experience.
  • Proven track record in administrative accuracy and quality monitoring.

Responsibilities

  • Provide quality information, direction, and assistance to faculty and staff as well as incoming, currently enrolled students and alumni.
  • Event planning skills including communicating updated and timely information, budget, location negotiations, dining and audiovisual equipment arrangements.
  • Oversee regularly scheduled data merges and imports providing for the most up-to-date program and budgetary information.
  • Generate standard and custom-request reports, analysis and projections on a regular and as-needed basis.
  • Prepare and monitor Faculty contracts as well as other department correspondence as needed.
  • Ability to manage timelines, priorities and multi-task while working independently or with limited supervision.
  • Demonstrate a commitment to offer competent and compassionate service to students, faculty and the university community.
  • Records complete meeting minutes and distribute to meeting attendees.
  • Disseminate electronic surveys and other data collection tools and compiles results or course, program, and alumni surveys.
  • Assist with scheduling meetings, classes, events, field trips, transportation, etc...
  • Order supplies for the department, mail distribution and collection.
  • Assist with accreditation activities.
  • Assist with admissions activities such as planning a student visit to the department.
  • Compiles aggregate data and formats reports that are utilized for the numerous formal reports completed in IAR.
  • Create and manage an extensive database of students, courses, schedules, faculty and alumni.
  • Pull data and documents from student courses.
  • Keep websites up to date with accurate information including accreditation specific information and metrics.
  • Correspond with students in a professional and effective manner.
  • Post information to social media and manage social media sites.
  • Manage Graduate Assistants and student workers.
  • Coordinate vendors.
  • Oversee annual events such as Capstone and Orientation.
