About The Position

The Program Analyst plays a critical role in supporting the client’s programs by analyzing, evaluating, and improving operational processes and program efficiency. This position involves working closely with stakeholders, program managers, and multidisciplinary teams to assess program performance, ensure compliance with client’s regulations, and recommend data-driven solutions aligned with organizational goals. The Program Analyst provides expertise in program planning, resource allocation, performance metrics, and reporting, enabling agencies to achieve their objectives effectively and efficiently. MUST HAVE AN ACTIVE SECRET CLEARANCE

Requirements

  • Secret Clerance is required.

Nice To Haves

  • Knowledge of Department of State applications such as MyData, GFMS, and MyServices is highly desirable.
  • Experience supporting program planning, implementation, or evaluation activities (e.g., tracking milestones, monitoring performance indicators, preparing status reports).
  • Bachelor’s degree in public administration, business administration, economics, international affairs, data analytics, or a related field.
  • Familiarity with federal government operations, programs, or grants management processes.

Responsibilities

  • Maintain a strong working knowledge of the office’s major issues and priorities, both current and long term, to support effective tracking and coordination of actions.
  • Maintain liaison with front offices and bureau offices, as needed, to ensure taskings are coordinated and deadlines are consistently met.
  • Coordinate internally to track, monitor, and control correspondence within the bureau, ensuring visibility into the status of key documents and actions.
  • Oversee the quality and timeliness of written products drafted within the bureau by providing guidance, enforcing deadlines, and reviewing documents for format, style, coherence, accuracy, content, and required clearances.
  • Make necessary edits and corrections to documents or return them to originators with clear guidance on required revisions.
  • Advise personnel on overdue action items, upcoming deadlines, issue prioritization, and proper formats and procedures for processing documentation.
  • Respond to inquiries from internal and external stakeholders regarding the status, location, subject matter, and deadlines associated with documents and taskers.
  • Assess the feasibility of meeting deadlines for specific documents; notify originators when extensions are needed and take proactive steps to avoid, reduce, or eliminate deadline-related issues in both the short and long term.
  • Develop management plans, procedures, and methodologies to help leadership improve operational efficiency and effectiveness, and monitor compliance with these processes as appropriate.
  • Coordinate short-fuse actions, briefings, and responses to data calls, ensuring timely and accurate submission.
  • Develop and employ creative techniques to maximize efficiency in monitoring program funding and related activities.
  • Perform management and program support functions, including planning, research, analysis, correspondence control, communications, and liaison activities.
  • Serve as an alternate Unit Security Officer in accordance with applicable policies and regulations, performing assigned security-related duties under appropriate direction.
  • Manage and maintain the office SharePoint site, including updates to the staff directory and organizational chart.
  • Ensure office shared files are well organized and complete, recommend improved methods for information management as appropriate, and maintain both current and historical records.
  • Serve as backup for maintaining inventory and procuring office supplies and for time and attendance (TATEL) responsibilities to ensure continuity of operations.
