About The Position

PTS Advance is seeking a Program Administrator to support a fast-paced project team responsible for large-scale engineering and manufacturing programs. This is a 12-month contract-to-hire opportunity for someone who enjoys working with data, coordinating multiple stakeholders, and keeping projects organized from start to finish.

Requirements

  • 5+ years of experience supporting project teams in construction, manufacturing, engineering, or industrial environments.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Advanced proficiency with Microsoft Office, including Excel, Word, Outlook, PowerPoint, and SharePoint.
  • Experience working with ERP and/or CRM systems.
  • Experience with project management software such as Procore or similar platforms.
  • Strong communication skills with the ability to work across multiple departments and stakeholders.
  • Detail-oriented with strong analytical and problem-solving abilities.

Nice To Haves

  • Knowledge of Smartsheet and Power BI is a plus.

Responsibilities

  • Provide administrative and operational support to Program Managers across multiple projects.
  • Manage sales order documentation and assist with resolving order-related issues.
  • Set up and maintain project management platforms, including Procore or similar collaboration tools.
  • Track manufacturing progress and compare production data against project schedules and system records.
  • Prepare project reports, dashboards, and financial KPI updates for leadership.
  • Maintain project documentation, change logs, and ensure records are accurate and up to date.
  • Coordinate project workflows and verify documentation is routed through the proper internal approval processes.
  • Monitor project budgets, costs, revenue, and forecasting information while supporting financial reporting.
  • Schedule and coordinate project finance meetings and communicate with key stakeholders.
  • Maintain project calendars, resource availability, and team holiday schedules to support planning efforts.
  • Upload and organize project records within designated document management systems.
  • Identify data discrepancies and work with internal teams to resolve reporting or accounting issues.
  • Assist with improving project processes, reporting standards, and administrative workflows.
