About The Position

We have an opening for a Program Administrator to support the Weapon Simulation and Computing (WSC) program. You will be a key member of the WSC leadership team, providing high-level administrative, operational, and executive support in a dynamic, fast-paced environment. You will work independently to manage leadership priorities, coordinate complex administrative and organizational activities, high-quality support for program operations, meetings, travel, visits, and stakeholder engagements. This position is in the Weapons Simulation and Computing (WSC) Program within the Strategic Deterrence (SD) Directorate. This position may offer a hybrid schedule, which includes the flexibility to work from home one or more days per week, after a probationary period. The specifics of the hybrid schedule, including the exact number of days required in the office and virtual work options, may vary based on the needs of the team and the organization. This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level.

Requirements

  • Active DOE Q-level clearance, or active Top-Secret clearance from another U.S. government agency at time of hire.
  • Experience providing advanced administrative and operational support to senior managers or program leadership in a fast-paced environment.
  • Demonstrated ability to independently manage complex calendars, coordinate high-level meetings, and balance competing priorities using sound judgment.
  • Experience coordinating complex domestic and international travel, meetings, visits, workshops, conferences, and other organizational activities.
  • Experience leading or overseeing administrative operations and coordinating the work of exempt and non-exempt administrative staff.
  • Experience researching, interpreting, and applying organizational policies, procedures, and requirements to resolve administrative and operational issues.
  • Experience managing and overseeing non-reimbursable budgets, awards and recognition activities, and related tracking and processing to ensure timely and accurate execution.
  • Working knowledge and experience with analytical and computer skills, including Microsoft Office applications, and knowledge of handling sensitive and classified information.
  • Effective interpersonal, verbal, and written communication skills necessary to interact tactfully and effectively with all levels of personnel, internal and external to the Laboratory, and to explain, negotiate, persuade, and influence action on complex matters.

Responsibilities

  • Provide advanced administrative and operational support to the Associate Director and WSC leadership team in a dynamic, fast-paced program environment.
  • Oversee and direct broader administrative operations, including establishing priorities, monitoring performance, and ensuring quality and consistency of support across the administrative team.
  • Represent the program in daily administrative matters by clarifying, coordinating, communicating, and disseminating information on the program’s behalf, and ensuring timely follow-up and resolution of action items.
  • Independently manage senior leader calendars, priorities, scheduling conflicts, and follow-up actions.
  • Coordinate complex travel, meetings, visits, conferences, workshops, and special events, including logistics, itineraries, visitor support, and access requirements.
  • Prepare and finalize correspondence, reports, presentations, briefing materials, and other documentation, including sensitive and classified materials.
  • Research, compile, and summarize information to support leadership decision-making, stakeholder engagements, and program operations.
  • Maintain and improve administrative processes, tracking systems, and office procedures to support efficient, compliant operations.
  • Interpret and apply policies, procedures, and security requirements in support of administrative and organizational activities.
  • Perform other duties as assigned.
  • Lead the development, implementation, and continuous improvement of administrative systems and internal processes to enhance efficiency, effectiveness, and responsiveness across the organization.
  • Serve as a key member of the management team, participating in workforce, operational, and strategic planning activities and helping align administrative operations with long-range program goals.
  • Research, interpret, and apply a broad range of institutional policies, procedures, and business practices to resolve complex issues and advise management.
