About The Position

Reporting to the Director of Programming in the Division of Continuing and Global Education (CGE), the incumbent is part of a team responsible for planning and implementing extended education programming. The team fulfills these responsibilities by building and leveraging relationships with prospective, current, and former students; faculty; staff; and external stakeholders. Each Program Administration Specialist maintains a portfolio of extended education programs including, but not limited to, academic programs, extension credit, non-credit professional development and personal enrichment programs, Intersessions, and dual enrollment initiatives. The incumbent will focus primarily on academic programs, including degrees, certificates, and credentials. CGE is the self-supporting academic and professional development unit of California State University, Fresno, known in the California State University system as Professional and Continuing Education (PaCE). As a self-supporting unit, CGE receives no state general fund appropriations. Operations are funded by revenue generated by self-supporting academic and professional development programs.

Requirements

  • Knowledge of extended education, continuing education, or higher education program administration.
  • Knowledge of the procedures and practices in educational program and curriculum planning and the processes required to plan and construct academic programs and course outlines.
  • Knowledge of budget and purchasing practices, policies and procedures.
  • Knowledge of computer office systems and ability to use a broad range of technology, systems, and software packages (Microsoft Office Suite, Google applications).
  • Ability to build professional working relationships and coordinate program operations across multiple academic and administrative units.
  • Ability to master sophisticated information systems, electronic workflows, and marketing platforms.
  • Ability to explain complex application, registration, payment, and academic procedures clearly.
  • Ability to identify student concerns and work with appropriate offices to resolve them.
  • Ability to work independently while contributing effectively to a collaborative team.
  • Organizational and time-management skills with the ability to work under pressure and manage multiple tasks and projects under competing deadlines and maintain flexibility in response to constantly shifting priorities.

Nice To Haves

  • Knowledge of higher education admissions processes including applicant evaluation, transcript review, eligibility determination, and decision notification.
  • Knowledge of student services related to registration, payment, withdrawal, grading, and financial aid.
  • Knowledge of student recruitment practices and enrollment pipeline management.
  • Knowledge of marketing campaign planning, budgeting, implementation, and evaluation.
  • Knowledge of academic scheduling, course registration procedures, and institutional deadlines.
  • Prior experience with extended education, specifically in the CSU.

Responsibilities

  • Maintain a portfolio of extended education programs including academic programs, extension credit, non-credit professional development and personal enrichment programs, Intersessions, and dual enrollment initiatives.
  • Focus primarily on academic programs, including degrees, certificates, and credentials.
  • Build and leverage relationships with prospective, current, and former students; faculty; staff; and external stakeholders.
  • Plan and implement extended education programming.
  • Develop budgets and analyze costs.
  • Collect and synthesize quantitative and qualitative information to support program recruitment and promotion.
  • Exercise sound judgment and maintain confidentiality when handling sensitive student, personnel, and financial information.
  • Communicate clearly and concisely, both orally and in writing, and prepare detailed written reports and correspondence.
  • Determine needs for new or revised programs, plan course hours and credit, develop course outlines with instructors, locate instructors and assist them in understanding and completing contract arrangements.
