About The Position

The Profit Participation Specialist is a client-facing role responsible for the day-to-day administration and coordination of our dealer profit-sharing programs, including retro, reinsurance, and dealer-owned warranty companies (DOWC). Reporting to the Director of Profit Participation, this role keeps onboarding, documentation, reporting, and dealer/agent communication running smoothly on a daily basis — serving as a dependable, responsive point of contact for dealers and agents. The Director sets program strategy, OKRs, and growth direction; the Specialist owns the administrative execution and daily operations that keep the program running against those goals. This is an execution- and detail-oriented role, ideal for someone who enjoys steady client contact, structured processes, and keeping many moving pieces organized and on track.

Requirements

  • Bachelor’s degree in Business, Finance, Accounting, or a related field, or equivalent experience.
  • 2+ years of experience in a client-facing administrative, account management, or coordinator role; experience providing administrative support to insurance, reinsurance, or automotive F&I operations is a plus.
  • Strong organizational skills and exceptional attention to detail, with the ability to manage multiple ongoing dealer relationships and deadlines simultaneously.
  • Strong analytical and critical-thinking skills, with genuine curiosity and a willingness to ask questions and learn new systems and processes.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite; experience with dealer or policy administration systems is a plus.
  • Ability to work collaboratively across sales, accounting, and operations teams.
  • Willingness to travel occasionally (up to 10%) for dealer visits or company events.

Responsibilities

  • Serve as the primary day-to-day point of contact for dealers and agents participating in profit-sharing programs, responding promptly and professionally to inquiries and requests.
  • Support the Director in on-site and virtual business reviews by preparing materials, tracking follow-up items, and closing the loop with dealers and agents.
  • Build and maintain strong, trust-based working relationships with dealers and agents through consistent, reliable communication.
  • Field dealer and agent questions about statements, distribution timing, and program documentation, routing account-specific or calculation questions to Accounting.
  • Manage the issuance and timely delivery of dealer payments due under profit share agreements once amounts are finalized by Accounting.
  • Maintain organized, up-to-date records of dealer and agent communications, agreements, and program history.
  • Manage day-to-day onboarding logistics for new dealers entering retro, reinsurance, and DOWC programs, including paperwork, entity setup coordination, and enrollment tracking.
  • Prepare, distribute, and track required onboarding documentation and compliance forms, ensuring nothing falls through the cracks.
  • Maintain accurate, current dealer and agent records in internal administrative and CRM systems.
  • Coordinate scheduling and logistics for webinars, training sessions, and dealer meetings led by the Director.
  • Support the Director in implementing new reinsurance treaties and program structures, coordinating documentation and administrative setup tasks.
  • Coordinate with trustees, investment advisors, and third-party vendors to support day-to-day reinsurance program administration.
  • Send monthly reinsurance cession statements and trust account statements to reinsurance companies, trustees, and other applicable parties on behalf of the team, and maintain organized storage of all issued statements.
  • Support the formation and onboarding of new reinsurance companies, coordinating administrative setup tasks and required documentation.
  • Maintain the database of reinsurance company partners, including personnel contacts and any changes or updates.
  • Participate in and help coordinate calls and meetings with underwriters, trustees, and vendors.
  • Monitor dealer participation status, program milestones, and outstanding action items, escalating to the Director as needed.
  • Prepare routine performance reports and dashboards for dealers, agents, and internal stakeholders.
  • Track key program metrics (e.g., enrollment status, loss ratios) and flag notable trends or issues to the Director.
  • Review quarterly dealer profit share statements for non-production or slipping performance trends; proactively communicate with dealers and coordinate corrective action with the Director.
  • Maintain and update standard operating procedures and reference materials for dealer/agent onboarding, records, and day-to-day program administration.
  • Support the Director with special projects, event logistics, and other administrative tasks as needed.
