About The Position

The City of West Hollywood is seeking a resourceful, dynamic, and customer-oriented Professional Support Services Specialist to join the Administrative Services Department - Human Resources Division. In this role, you will provide flexible, high-quality administrative support across City departments and divisions – stepping in on special projects, short-term assignments, and organizational needs as they arise. Your assignments will be coordinated by the Human Resources Division, but you will work under the direction of other lead staff, managers, and executive-level positions to keep things running smoothly wherever you are needed most. Your day-to-day responsibilities will vary by assignment, but may include: Front desk and public-facing customer service, Contract administration, invoice and purchase order processing, check requests, Administrative and project support across City divisions and departments, Serving as a liaison or secretary to boards, task forces, and/or commissions.

Requirements

  • Experience in front desk, counter, or public-facing roles
  • Experience with mail processing and delivery coordination
  • Experience processing a variety of financial transactions, such as invoices, purchase orders, and check requests
  • Ability to communicate clearly and professionally with internal and external customers in both verbal and written formats
  • Ability to exercise sound judgment and discretion in a variety of situations
  • Proactive, responsive, and punctual
  • Ability to adapt to new environments and learn processes quickly
  • High school diploma or GED
  • Four to five years of progressively responsible related experience
  • Para legal experience – depending on assignment

Nice To Haves

  • Associate's degree in a related field is preferred
